Basic Qualifications

High School Diploma or the equivalent is required. In addition, Related Vocational Training plus a minimum of 5 years administrative or business experience, or a minimum 8 years of administrative or business experience.CLEARANCE REQUIREMENTS:Department of Defense Secret security clearance is required within a reasonable period.  Applicants selected will be subject to a U.S. Government security investigation and must meet eligibility requirements for access to classified information. Due to the nature of work performed within our facilities, U.S. citizenship is required.

What you bring to the table:

  • High School Diploma or the equivalent is required. In addition, Related Vocational Training plus a minimum of 5 years administrative or business experience, or a minimum 8 years of administrative or business experience
  • Experience organizing local, domestic, and international travel arrangements while maintaining awareness of any security processes for international travel
  • Strong working knowledge of Microsoft Office, including Outlook, Word, Excel, and PowerPoint
  • Exceptional communication, organization and time management skills, attention to detail, and ability to multi-task high priorities

  • Knowledge of IFS, AP Web Query, and Markview (Purchase Requisition entry and Accounts Payable systems).

 

Tasks:

  • Daily review and management of the DoE calendar, including conflict resolution and scheduling meetings on complex, fully booked calendars. Assist with keeping the DoE informed on actions,  commitments, priority shifts or urgent happenings.
  • Creating the 30-60-90 day Engineering view calendar.
  • Scheduling monthly Engineering Status Reviews: Managing distribution lists, creating and previewing the schedule, sending meeting notices, resolving schedule conflicts, downloading and filing Teams attendance, and distributing charge numbers to senior leaders.
  • Managing payments for outside contracting agencies for Engineering.
    • Creating Statements of Work (SOW), entering IFS Purchase Requisitions, obtaining approvals, coordinating with Supply Chain for Purchase Order creation, ensuring timely payment of contractor invoices and the ability to handle customer service issues professionally while resolving .
  • Processing ECNs, DOAs, data calls and
