Hudson Institute seeks a professional, energetic, and experienced front office coordinator to support Hudson’s office operations. This position demands a personable, highly organized individual with excellent organization and communication skills and who is technological savvy. This is a full-time position based out of Hudson’s Washington, DC office reporting to the director of operations.

Essential Position Responsibilities

  • Manages Hudson Institute’s reception area, maintaining a clean, organized, and welcoming office environment; greets visitors; answers telephone calls, and receives and distributes mail.
  • Manages office inventory to meet organizational demands.
  • Manages conference room calendaring (excluding public events) by receiving and responding to staff requests to book conference rooms. 
  • Coordinates meeting support including ordering catering and scheduling appropriate staff to support setup or A/V requirements.
  • Liaises with building management and security, proactively leading on maintenance and facilities requests to ensure best-in-class environment for employees and guests. 
  • Serves as the primary point of contact for Hudson staff for facility-related issues and requests.
  • Provides general administrative assistance to Hudson’s staff, including preparing and sending mailings and responding to IT queries.
  • Supports the operations team with additional projects, as requested.

  • Excellent interpersonal, written, and oral communication skills.
  • Ability to work closely and effectively with others—including Hudson’s senior management, research staff, and administrative staff.
  • Meticulous attention to detail. 
  • Technologically savvy.
  • Demonstrated ability to handle complex and simultaneous tasks and assignments.
  • Notary public in Washington, DC (or willingness to become one).
  • Ability to work closely and effectively with others—including Hudson’s senior management, fellows, and staff.
  • Commitment to acting with integrity and the utmost professionalism.
