Description of Duties and Tasks
Essential duties and responsibilities include the following. Other duties may be assigned.
Conducts college wide inventory of records stored in any format and location.
Assists in the planning, organization and implementation of institution wide records management system including maintenance, storage retention, retrieval, and destruction of records and documents in accordance with administrative, legal, fiscal, and historical requirements.
Advises college departments on methods to retain, maintain and securely dispose of records in accordance with state and federal laws and regulations, and best records management practices.
Advises college departments in relation to department imaging, including establishing index criteria and standards.
Consults with college departments to provide records management support, direction and quality customer service enterprise wide, including fulfilling individual requests for information and analysis.
Responsible for maintaining the confidentiality of sensitive information held in the Records Center and the off-site storage facility.
May train hourly employees regarding departmental processes and/or oversee workflow as required.
May design and revise forms in accordance with College formatting procedures and design standards; review design services request forms with the requesting department; determine appropriate order, grouping, size, and spacing of information to be included on forms.
May utilize computer software and technical expertise to design and generate forms drafts; produce final layout and camera ready copy; review final products for quality and accuracy.
