HOW YOU WILL IMPACT OUR MISSION
The Chief of Staff will lead as a key member of the Executive Office team, supporting the CEO's day-to-day priorities and lead interdepartmental coordination to maximize organization-wide impact. They will oversee the operations of the CEO's office, manage all aspects of Board of Trustee and Committee meetings, facilitate executive team meetings, and plan or coordinate Board and executive activities as necessary, which may include special events, receptions, and retreats. The Chief of Staff's efforts will drive toward greater efficiencies and stronger communication to support the growing organization.
WHAT YOU WILL DO
Manage the Office of the CEO:
• Lead the prioritization of schedules and agendas around key meetings.
• Develop and manage CEO correspondence with individuals, board of trustees, and other key stakeholders and partners.
• Vet appropriate meetings so that all participants, including the CEO are prepared and provide clear guidance on the purpose and
expected outcomes of the meetings.
• Support follow-up actions to ensure effective and timely advancing of key initiatives.
• Support CEO speechwriting, presentations, and communication efforts, in partnership with the communications team.
• Work closely and collaboratively with the COO and the Sr. Executive Assistant to the CEO & COO, building and prioritizing
workflows.
• Initiating or supporting on new projects as assigned, with the intent of driving greater value for the organization.
Lead Organizational Coordination:
• Represent the CEO/Exec Office as needed with key internal constituents and external partners. Support follow-up actions to further
enable team success.
• Ensure that meetings with the CEO are properly prepared in advance and required documents are available for review ahead of time.
• Play a lead role in developing the Executive Office yearly budget and overseeing management of that budget.
• Organize and facilitate weekly executive team meetings, prioritizing time-sensitive conversations, prepping speakers and team
members to ensure clear and specific outcomes.
• Support organizational strategic growth initiatives, that may create work across multiple departments outside of the executive office,
including government relations, conservation strategic planning, business development, philanthropic initiatives, marketing & communications.
• Support annual planning process organization wide.
Serve as trusted communication conduit from the CEO office to other key leaders and departments.
• Communicate with external partners as requested.
Board Management:
• Serve as a key liaison with the Board of Trustees including, but not limited to: creating meeting agendas, preparing presentation
decks, arranging key calls, events and dinners.
• Responsible for taking board minutes at board meetings as well as committee meetings.
• Create a monthly Board Digest, to keep trustees updated and informed of the organizational priorities.
• Track the implementation of key organizational initiatives. Support the follow up on key deliverables and timelines as needed.
• Oversee and guide the Board of Trustee & Committee Meetings and provide guidance and advice as necessary. Provide appropriate
support when requested such as providing board materials, meeting locations, arranging, and communicating logistics, coordinating
and planning dinner programs, and other related items.
• Work in tandem with CEO, COO, Sr. Executive Assistant, and Events teams on all Board related activities.
WHAT WE ARE LOOKING
• JOB EXPERIENCE
◦ Five to ten years of experience leading, coordinating and managing projects under senior executives required.
• EDUCATION AND CERTIFICATIONS
◦ Master's Degree preferred.
◦ Bachelor's Degree in related field required.<
