POSITION OVERVIEW:
The Senior Project Support Analyst is vital to multiple project teams within NYCEDC’s Initiatives Department. This position will work with project managers and other staff to provide critical project support relating to contracting, budget tracking, payments, file management, process, and other operational tasks that help advance, fast-paced, complex initiatives city-wide.
The Senior Project Support Analyst will develop and maintain collaborative relationships with multiple project managers and act as the consultant contract lead to ensure that compliance and best practices are maintained throughout the contract term.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Provide comprehensive operational support for projects, including coordinating and maintaining timelines and other tasks associated
- Liaise with cross-functional teams, including Contracts, Budget, Accounting, and Legal
- Guide project managers and assist in procurement processes, invoice processing, compliance needs, contract amendments, budget tracking, adhering to established policies and procedures
- Maintain and update project-related documents and trackers, including schedules, budgets, reports, and other online project management platforms
- Draft and provide project updates to team members and others as needed
- Identify and develop mechanisms for process improvements, including streamlining procurement, contracting, and other processes
- Guide team members on processes to ensure projects run smoothly, and procedures are followed consistently
- Create training decks/user manuals to inform and enable users and establish best practices
- Other tasks and duties as assigned
MINIMUM QUALIFICATIONS:
- Bachelor’s degree or equivalent
- 2+ years professional experience
- Proficiency with Microsoft Office, especially Outlook, Excel, PowerPoint, and other web-based project management tools and software
- Demonstrated effective written and verbal communication, including presentation skills
- Experience effectively managing, organizing, and analyzing data in Excel
- Experience with file management, milestone tracking, and process-driven work
- Detail-oriented and demonstrated problem-solving skills
- Ability to effectively complete projects and simultaneously maintain a sense of prioritization and time management
- Ability to understand and implement process-oriented tasks and coach others on following those processes
- Ability to work collaboratively, as well as independently, with guidance
- Experience building and maintaining professional relationships with a results-oriented approach
- Familiarity with Concur preferred
- New York City residence is required within 180 days of hire
