Position Description:
The primary responsibility of the Front Desk Administrative Assistant is to greet and assist visitors, and Barry-Wehmiller (BW) team members in person and via the switchboard. This team member answers and routes incoming calls and is the first point of contact for all visitors, and provides general office support through a variety of routine clerical and administrative duties. The Front Desk Administrative Assistant interacts with BW team members, and visitors through these professional interactions and their work ethic they exemplify Barry-Wehmiller’s values and culture.
Principal Duties and Responsibilities (Essential Functions):
- Answer all incoming calls.
- Greet and direct visitors and new team members – direct visitors as needed, respond to all team members, visitors, customers, and vendors in a polite and timely manner.
- Assist with events and meetings as needed for Barry-Wehmiller, and client events, including maintaining calendars for shared spaces, and stocking drinks and snacks during meetings.
- Act as a liaison between BW team members and the building Property Management team, submit tickets for building issues, assist with maintaining and scheduling shared spaces and etc…
- Maintain mail incoming and outgoing for location.
- Contact BW team members to notify of onsite visitors.
- Assists visitors and team members with general Barry-Wehmiller questions.
- Assist with ground transportation needs for visitors and guests when needed.
- Call BW Team Members when food/catering orders arrive.
- Direct UPS/FedEx/Amazon to the appropriate drop off location for deliveries.
- Accept and direct courier pick up and deliveries.
- Fill in as a backup administrator of the security system.
- Maintain reception area and all common areas in a clean, professional and tidy manner at all times.
- Coordinate guest space and offices with outside and visiting team members and guests.
- Support for other team admins and team members with general administrative tasks.
- Submit KACE Tickets related to Visitor Needs i.e. transportation, errands, etc.
- Contribute to the events team where applicable.
- Maintain relationship with vendors and coordinate any breakroom supply orders.

- Professional attitude and ability to provide excellent customer service to all aspects of visitors.
- Self-starter and willing to take initiative.
- Interpersonal skills to create a pleasant experience for all team members and visitors.
- General knowledge of computers, including Microsoft Office that includes, Outlook, Word, Excel, Teams, etc.
- Experience responding to a variety of requests and juggling multiple questions at one time.
- Excellent attention to detail with the ability to work efficiently under tight deadlines.
- Must have strong communication skills, a positive attitude and ability to work in a team and/or independent environment.
- Ability to work independently on projects as a member of a cross-functional team.
Required Education and Experience:
- High School diploma or GED
- At least three to five (3-5) years of experience in general office support or service experience
Supervisory/Responsibility:
- Individual contributor w/no direct reports.
Work Environment:
This is an in-office position
Position Type:
This is a regular, full-time position with frequent overtime. Must be able, available and willing to work, in office, more than 40 hours per week, including scheduled and unscheduled overtime.

No travel is expected for this position
