Job Description
Responsibility: Assists the Department Administrator in overseeing the human resource operations of the department related to hiring, termination and classification and compensation. Plans and coordinates personnel functions for the department including but not limited to submitting Personnel Request forms, processing FTE and salary changes, promotions, terminations and reclassifications. Ensures accurate WorkDay updates are input for faculty, staff, and other paid employees in the Department. As Visa processing liaison, works in coordination with the College of Medicine HRCOE and Center for Global Health to process new and current employee and student Visa sponsorships. Responsible for faculty appointments, promotions, and tenure processes including working with the Department APT Committee, HRCOE and the faculty member to ensure all required documents are completed and returned to the Dean’s office for review. Responsible for annual faculty contracts to include entry into FACTS and verification of compensation from Administrator prior to routing for electronic signature. (Essential) Weight: 30%
Responsibility: Responsible for managing invited speakers, faculty candidates, faculty development and all social functions of the Department. This can include the preparation of seminar schedules, drafting and posting position advertisements, processing required paperwork such as setting up itinerary, scheduling interviews and travel arrangements, overseeing visits and serving as a liaison with Verge Solutions and the APT Committee. (Essential) Weight: 20 %
Responsibility: As timekeeper for the department maintains all timekeeping functions in WorkDay for the department, ensuring all time and leave information are entered in a timely manner and are following University policy and are signed off according to pay cycle cutoffs. Trains on any new protocols for timekeeping and educates all staff and faculty on any new processes when applicable. (Essential) Weight: 15 %
Responsibility: Responsible for time sensitive information that must be acted upon individually or by the Chair or Administrator, including drafting correspondence, letters, reports and other documents. Performs administrative duties for the department such as schedules appointments and manages departmental and Chair calendars, updates departmental website and faculty web pages, updates departmental news via department TV screen, receives deliveries and notifies recipients, answers telephone lines, answers questions, screens and refers appropriately. (Essential) Weight: 10 %
Responsibility: Provide travel support for faculty, staff, student, candidate and guest travel and related reimbursements. Travel support may include but is not limited to meeting registration, airline booking and expense reports. (Essential) Weight: 10 %
Responsibility: Allocate PCard transactions in OurDay of individual cardholder account, including uploading receipts matched to transactions. Transactions must be approved and closed by the date they are processed, to close the billing cycle each month. Notify the University PCard Administrator of any transactions that are not in compliance with the guidelines. Identify transactions which require the submission of use tax, include tax, and are non-taxable. Notify PCard liaison and Administrator of discrepancies made by vendors that may be incorrect and follow all guidelines of the Statewide PCard Program. (Essential) Weight: 5 %
