Job Description

Wilshire seeks a Human Resources & Payroll Assistant to join the team. The ideal candidate will have experience with and a passion for payroll, HR analytics and contributing to a supportive work environment that enables all employees to excel. You will be responsible for supporting the US and international payroll processes from beginning to end, supporting data analytics through regular and ad hoc reports and presentations, and general HR tasks. Specific experience with a payroll system or HRIS system is preferred. There will be extensive interaction with all HR team members, and cross-functional Wilshire teams. This position reports to the Global Head of Human Resources.

This position will work on a hybrid model out of our Santa Monica or Pittsburgh office.

What you’ll do:

General

  • Document policies and procedures (SOPs)
  • Maintain HR Information Hub
  • Maintain employee e-files
  • Respond to verifications of employment and state benefit inquiries
  • Assist with coordinating employee performance and training activities
  • Assist with HR technology implementations and ongoing support
  • Respond to ad hoc employee requests

Payroll

  • Assist with full-cycle US and international payroll process from beginning to end, including ensuring accurate data entry of employee information into payroll system (ADP) and providing payroll reports to accounting and/or management as needed
  • Serve as back-up to Payroll Manager
  • Review timesheets to ensure submission and approval for payroll processing
  • Respond to inquiries from employees regarding payroll related items

Reporting & Analytics

  • Pull data from HR systems and report out to stakeholders including accounting, marketing, management, and others on a regular and ad hoc basis
  • Work with Marketing and Client Solutions teams to provide HR data and information on programs, policies and procedures for requests for proposals (RFP), due diligence questionnaires (DDQs) and presentations for prospective and current clients  

Qualifications

  • Minimum 2 years current experience working with a SaaS payroll system; ADP WorkForce Now highly preferred. 
  • Proficiency with Microsoft Office Suite, emphasis on Excel and PowerPoint
  • Results-oriented with a high sense of urgency and customer service focus
  • Excellent organizational skills
  • Attention to detail and ability to establish priorities and meet deadlines
  • High level of interpersonal and communication skills
  • Ability to handle sensitive and confidential information
  • Excellent verbal and written communication skills
  • Experience with HRIS platform implementations highly preferred
  • FCP, CPP or PHR designations highly preferred

The pay range for this position is $28-$34/hour. However, base pay will be determined on an individual basis considering various factors, including location, qualifications, skills, and experience. The total compensation package includes eligibility for an annual discretionary bonus and a full range of health and financial benefit offerings, which will be provided in conjunction with an offer of employment.
