Job Title

Executive Assistant - Contract

As the EA, you will be responsible for providing professional administrative support to C-Level executives, coordinates complex schedules, manages priority projects, and will serve as a key point of contact between leadership and internal/external stakeholders.

Role & Responsibilities:

  • Manage and coordinate calendars for multiple managers or directors, prioritizing appointments and resolving scheduling conflicts.
  • Support cross-department initiatives by tracking deliverables and facilitating communication.
  • Arrange domestic and international travel, including flights, accommodations, itineraries, and meeting logistics.
  • Oversee travel bookings and expense processing for assigned managers.
  • Prepare, edit, and proofread correspondence, reports, and presentations, ensuring accuracy, formatting consistency, and brand compliance.
  • Coordinate and support department projects, including scheduling, task tracking, and reporting progress to management.
  • Serve as liaison between department leadership and other teams to ensure deadlines are met and communication flows effectively.
  • Maintain department records, files, and databases; recommend process improvements to increase efficiency.
  • Order and maintain office and breakroom supplies; manage vendor relationships for routine services.
  • Manage department supply orders, including snacks, beverages, and office materials.
  • Prepare meeting agendas, take minutes, and follow up on action items.
  • Coordinate logistics for meetings, conferences, and special events, including catering and AV setup.
  • Welcome visitors, screen phone calls, and handle inquiries requiring detailed knowledge of department operations.
  • Support onboarding of new team members by coordinating workspace setup, technology access, and orientation schedules.
  • Ensure confidentiality in handling sensitive information.
  • Perform other duties and special assignments as requested by leadership.

Job Requirements:

Education & Experience:

  • High school diploma or GED required; Associate’s degree or equivalent preferred.
  • Minimum four (4) years of administrative experience, with at least two (2) years supporting managers or directors.

Functional/Technical Knowledge, Skills & Abilities:

  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat Pro.
  • Strong organizational, time management, and multitasking skills.
  • Excellent written and verbal communication abilities.
  • Ability to work independently and exercise sound judgment within established guidelines.
  • Strong attention to detail with the ability to meet tight deadlines.
  • Experience with purchasing and vendor coordination preferred.

Additional Details Specific to Role:

  • Length of Contract: Approximate 4-months with potential to convert to full-time employment
  • Location: Golden, CO (On-Site)
