Key/Essential Functions & Responsibilities

  • Maintains responsibility for all day-to-day accounting transactions for assigned agencies and/or accounts, performing regular review, reconciliation and posting of financial information in accordance with all applicable requirements and within established timelines to support monthly, quarterly and annual closings.

  • Works closely with the other financial services staff, including billing, budget and accounts payable teams, to prepare accurate and complete monthly entries for assigned agencies and/or accounts, ensuring that reconciliation items are cleared on a timely basis.

  • Conducts follow-ups with staff, including individual and/or program staff, to obtain necessary information, receipts and/or documentation to support transactions and coordinates with applicable parties to ensure appropriate posting and coding of transactions including billing, p-cards or other transactions, when needed.

  • Prepares and reviews monthly and/or quarterly balance sheet and income statement account reconciliations for assigned accounts including but not limited to, Notes & Loan Payable, Capital Lease accounts and Intercompany accounts, repair and maintenance, rent expense and/or revenue accounts.  

  • Prepares journal entries accordingly, collecting and confirming amounts and accruals and posting into ledger on a timely basis, in accordance with all requirements.

  • Regularly runs reports from electronic accounting systems to review, track and analyze transactions, payments or other account details and/or to confirm accuracy of posting entries and to identify pending postings for follow-up; may run or retrieve reports to conduct other reconciliations or obtain information to answer inquiries, as directed.

  • Participates in gathering of back up documentation needed to prepare required monthly reports and letters to satisfy banking and financing requirements, reviewing to ensure documentation is available and saved in appropriate files and/or systems; assists with financial or other audits or reviews, as requested.

  • Completes deposits of checks or other income relating to assigned accounts and initiates adjustments, debits and/or transfers to or from accounts, as directed by senior accounting staff or supervisor. 

  • Performs a variety of clerical, administrative and financial tasks to support general ledger department as requested including, but not limited to filing, copying, scanning and/or data entry; creating memos, lists, spreadsheets or other documents; and/or making notifications or inquires by email or phone.

  • Prepares and submits annual NYS sales tax reporting.

  • May assist senior accounting staff with maintaining daily cash reports, preparing and/or updating cash flow projections for the year or preparing Bank Balance Reports for Investment Accounts, as needed.

  • May participate in the maintenance and/or preparation of reconciliations of community trust's receipts and disbursements to investment and individual statements.

  • Complies with all Federal, State, Local and other relevant regulatory agency requirements, including the Health Insurance Portability and Accountability Act (HIPAA) and cooperation with appropriate entities in any inspection, inquiry or investigation.

  • Performs all other duties, as assigned.

Minimum Qualification Requirements including education, experience, licensure/certification, etc. and essential physical capabilities (e.g. lifting, assisting lifting, standing, etc.)

  • Bachelor's degree in Accounting, Finance, Business Administration or a related field; or

  • Two (2) years of experience performing accounting-related duties including debits, credits and other general ledger-related adjustments; or

  • Satisfactory combination of education, experience and/or training; however, all incumbents must have at least 60 credits in accounting, finance or a related area.

  • Effective written and oral communication skills, including the ability to obtain and communicate information with staff at varying levels across the organization.

  • Strong quantitative and problem-solving skills, including the ability to analyze financial information, identify discrepancies and escalate concerns accordingly.

  • Detail oriented and highly organized with good time management and follow-up skills, including the ability to appropriately prioritize multiple tasks to meet deadlines.
