Job Summary

The Executive Recruiting Specialist will play a key role in supporting the executive recruitment process from start to finish. Reporting directly to the Executive Recruiter, this individual will provide high-level administrative, scheduling, sourcing, and candidate experience support throughout the executive hiring lifecycle. This role requires exceptional attention to detail, strong communication skills, and the ability to thrive in a fast-paced environment that demands discretion and professionalism.

Key Responsibilities

  • Source executive-level candidates through platforms like LinkedIn, internal databases, referrals, and other creative channels
  • Communication with candidates and help build a strong pipeline of qualified, engaged talent
  • Coordinate all aspects of the executive interview process, including scheduling with candidates and internal stakeholders, booking travel (if needed), and ensuring seamless logistics
  • Serve as the primary point of contact for executive candidates, delivering a first-class experience that reflects the company’s values and culture
  • Manage confidential information with discretion and integrity
  • Support the Executive Recruiter with creating job postings, tracking candidate activity, and maintaining accurate data in the applicant tracking system (ATS)
  • Assist in the preparation of candidate presentations, interview materials, and status reports for leadership
  • Monitor and follow up on background checks, references, and offer documentation in collaboration with HR and Legal as needed
  • Partner with internal teams (e.g., HR, Legal, Finance) to ensure alignment throughout the recruitment process
  • Proactively identify opportunities to improve the executive hiring process and enhance candidate and hiring manager experience
  • Will assist in the onboarding process and day one agenda, ensuring the candidate has a seamless experience
  • This role will be a hybrid position, operating 3+ days a week in our Southlake office

Preferred Qualifications

  • Bachelor’s degree or equivalent experience in Human Resources, Business Administration, or a related field
  • 3+ years of experience in a recruiting, talent acquisition, or HR support role—executive search and sourcing experience strongly preferred
  • Comfortable using LinkedIn Recruiter and other sourcing platforms to identify and engage executive-level talent
  • Exceptional organizational skills and a proven ability to manage multiple tasks simultaneously
  • High emotional intelligence and professionalism in handling confidential and sensitive information
  • Strong communication skills and the ability to interact confidently with senior-level stakeholders
  • Experience using Workday preferred
  • Proficient in Microsoft Office Suite and Teams
