About the role

Job Description:

  • This position supports the Front Office Personnel at Naval Sea Systems Command (NAVSEA), SEA 03.

Duties and responsibilities include:

  • Schedule meetings and manage calendars, arrange travel and lodging via the Defense Travel System (DTS) and ensure proper security protocols are followed.
  • Plan events for the Front Office Officials as directed.
  • Create and manage phone rosters, organization charts, and other media that helps identify and contact personnel.
  • Prepare the Front Office Officials for meetings by creating organized read-ahead binders with relevant information for awareness and decision-making, as appropriate.
  • Manage timeliness, accuracy, and maintenance of published content.
  • Coordinate, perform, and manage a variety of office management tasks and activities to include postal, official mail, and a variety of other services and duties.
  • Perform clerical, security and general administrative duties, including typing and filing.
  • Manage processes and activities to support organizational communications, including correspondence preparation, distribution, suspense tracking, workflow management, electronic mail management, content management, and other related duties.
  • Ensure accuracy of information in personnel and manpower database systems
  • Perform research, interview personnel, and prepare analytical historical publications; assemble and maintain historical document repositories for reference and research.

Required Skills and Experiences:

  • A minimum of five years working experience providing Flag Officer/Executive administrative support within the federal government or military environments.
  • Excellent oral and written communication skills. Strong Customer Service skills.
  • Working knowledge of DTS to submit travel orders.
  • Ability to work under direction and independently, be self-motivated, and result oriented.
  • Ability to multi-task and organize work and schedules to adjust to multiple and evolving priorities.
  • Detail-oriented and exhibit creative problem-solving skills.
  • Skill with MS Office applications (Word, Excel, PowerPoint, SharePoint, Teams, etc.)
  • Serve as a team player and able to work with military personnel, government civilians, contractors, and administrative teams.
  • Must be a U.S. citizen.
  • A secret security clearance

Degree Requirements:

  • Bachelor’s Degree in related field.
  • Professional experience that exceeds the minimum required may be considered as the equivalent of the degree requirement.
