Position Information: 

NWHSU is seeking a highly organized Executive Administrative Assistant to be a trusted partner to key university leaders in our Academic Affairs department. This is more than just a support role - it's an opportunity to be at the heart of academic leadership, helping shape and streamline initiatives that drive the university's mission forward.

In this role, you'll manage complex schedules, lead the coordination of key academic projects and initiatives, and ensure timely, effective communication across departments. You'll bring order to fast-moving workstreams, maintain records, and serve as a dependable point of contact and continuity in a dynamic academic environment.

Work Location: Bloomington, MN with flexibility to work 1-2 days per week remotely; must live local and be able to come to campus as needed.

Duties:

  • Maintain knowledge of academic programs, operational structures, and department priorities, commitments, and responsibilities.
  • Coordinate and complete university regulatory processes such as annual registrations for MN Office of Higher Education and NC-SARA.
  • Coordinate, collaborate, and deliver the university catalog and addenda.
  • Coordinate, support, and implement key academic processes such as faculty load credit assignments and reporting and adjunct contracting.
  • Support key programmatic performance reviews such as academic dashboards and financial reporting.
  • Coordinate and contribute to federal and accreditor mandated processes such as but not limited to professional licensure disclosures and consumer information.
  • Support key growth, expansion, and refinement initiatives for the academic and policy portfolios. 
  • Process invoices, purchase orders, and expense reports, while monitoring and maintaining accurate record of expenses
  • Manages calendars and plan schedules for meetings and handle requests with discretion.
  • Prepares or composes presentation materials. Proof and edit documents as needed.
  • Administer meetings through agenda-setting, taking minutes, and distributing materials for various university committees
