Project Coordinator

DNV’s Solar Independent Engineering and Technology Department is seeking a Project Coordinator with strong interpersonal and organizational skills to join our growing team. The Project Coordinator will provide critical project support to project managers and project team members on a variety of exciting projects in the energy industry.
This role is based at our DNV office in of our North America offices, including Houston, TX, Oakland CA, San Diego CA, Portland OR, New York NY, Seattle WA, Austin TX (other DNV offices will be considered), presenting a dynamic hybrid schedule where employees will typically spend three (3) days per week working from either a DNV office or client location/site. Further details regarding role-specific requirements will be shared during the interview process.
What You’ll Do
- Support project managers with project start-up activities within the DNV Teamcenter platform, coordinating with Accounting, Legal, IT and other corporate departments where necessary to establish projects in the accounting system, execute and file contractual documents, and set up necessary data storage procedures.
- Support business development resources with Salesforce opportunity set-up, including the quote set-up process and other Salesforce workflow management.
- Develop process documentation where needed to facilitate efficient and repeatable processes for project startup and administration activities.
- Act as a liaison between project managers and other corporate departments, including Legal, Accounting, Human Resources, Marketing, and Information Technology (IT), helping to ensure compliance with corporate policies and procedures.
- Supporting project activities such as scheduling meetings, coordinating with subcontractors and clients, creating project templates in MS Word, MS Excel, and MS PowerPoint, and communicating information related to the project.
- Provide project execution and control support to project managers including:
- Assist with regular status reporting and invoicing activities by: reviewing time, expense and accounting reports for accuracy, reviewing subcontractor invoices, maintaining budget tracking information, and preparing invoices according to corporate and client specifications.
- Monitor outstanding project receivables and support project managers in resolving invoice payment issues.
- Enter project-related data into corporate accounting and project management systems (e.g., Oracle, MS SharePoint).
- Work with project managers to set-up and track execution of work plans in Click-up, including Click-up task setup, tracking project deliverable dates and issuing reminders to team members when appropriate.
- Assist project managers with effective facilitation of team and client meetings, including preparing agendas, taking minutes, tracking action items, and proactively following up on action items.
- Provide status updates to project teams on work performed to date, timelines, spending, and project risks.
- Coordinating with other project coordinators on best practices and workload distribution.

What is Required
- A high school diploma or GED is required
- At least one (1) year of professional work experience is required, in lieu of a degree
- Excellent written and verbal English communications skills
- Demonstrated ability to multi-task and manage competing priorities effectively
- Excellent organizational skills and attention to detail
- Strong interpersonal skills with a customer-service attitude and team-oriented spirit
- Ability to take direction from multiple people and perform highly varied tasks
- Advanced Microsoft Office skills required: Outlook, Excel, PowerPoint, OneNote, and Word
