Job Description Summary:
The Associate Director supports the Master of Biomedical Sciences (MBS) program & forthcoming Marriage & Family Therapy (MFT) by managing daily operations, student services, and program development. This role works closely with the Program Director to improve processes, enhance student success, and build relationships with professional schools.
Duties and Responsibilities:
Oversee day-to-day back-office operations of the MBS/MFT Specializations Office (25%)
- Enhance MBS/MFT operational processes.
- Manage/oversee incoming MBS/MFT applicant files and ensure accurate and up-to-date listings of students on our waiting lists.
- Manage operations specific to the MBS/MFT program for students, faculty (including adjuncts and instructors), Teaching Assistants and staff members.
- Compile and analyze quantitative data information for MBS program to monitor the recruitment & retention of students.
- Responsible for overseeing and managing the MBS student records system.
- Manage and coordinate activities and training for the staff, Teaching Assistants and student groups.
- Assist Program Director with annual updates/changes to MBS/MFT catalog, student handbook, MBS/MFT website, Social Media postings and brochures.
Oversee Graduate Enrollment Process/Advisement (30 %)
- Provide support and advisement to prospective and new graduate students, including registration and schedule selection.
- Serve as a resource for faculty, directors, and Admissions regarding student records
- Advise newly admitted students to ensure smooth transition into the MBS/MFT program
- Track and maintain enrollment data for Spring, Summer, and Fall admissions
- Manage prospective student database and communications to support enrollment goals
- Register first-semester students and maintain accurate student files
- Ensure all required consents are signed and filed appropriately
Retention via Professional School Outreach/application advisement (30%):
- Cultivate relationships with medical, dental, and PA programs; coordinate campus visits and student meetings
- Host visiting representatives and manage related logistics
- Maintain interview feedback and question database; conduct mock interviews
- Advise students on all aspects of professional school applications
- Track and report student acceptances by institution
- Share student successes on social media (with permission)
- Connect students with academic and university support resources
- Promote academic success through advising, skill-building, and faculty collaboration
Oversee maintenance of office filing systems (15%)
- Oversee maintenance of paper-based and electronic record-keeping
- Oversee record-keeping for the department
- Ensure security and confidentiality of data
- Process and maintain all employee –related forms and files
- Manage/oversee document management
Minimum Qualifications:
- Bachelor's degree in business, biology, or a related field required
- A master’s degree in a relevant field is preferred
- Experience in graduate program admissions required
- Proven ability to build and maintain relationships with medical and dental schools
