The Construction Contract Administrator is responsible for coordinating and managing all administrative and contractual aspects of construction projects. This position ensures the accurate and timely flow of information, documentation, and compliance among subcontractors, vendors, and internal project teams. The ideal candidate demonstrates exceptional attention to detail, a strong understanding of construction documentation, and the ability to manage multiple priorities within tight deadlines.
What you have already achieved: (Requirements)
- Bachelor’s degree in Construction Management, Business Administration, or a related field preferred.
- Minimum 3–5 years of experience in construction administration, project coordination, or contract management required.
- Experience with commercial, residential, or mixed-use development projects strongly preferred.
- Strong knowledge of construction contracts, documentation, and lien laws.
- Excellent organizational, time management, and multitasking skills.
- High attention to detail with the ability to manage complex documentation systems.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and construction
- management software (e.g., Procore, CMiC, or similar).
- Ability to collaborate across departments and maintain professional relationships with subcontractors and vendors.

Direct Responsibilities:
Project Administration
- Serve as the primary liaison between the home office accounting team and field Project Administrators.
- Coordinate and oversee Project Administrator activities to ensure compliance with company standards, policies, and procedures.
- Establish, organize, and maintain comprehensive project and development files.
- Prepare, update, and distribute weekly and monthly reports for Project Managers.
- Administer policy and safety manuals, ensuring all projects receive current revisions and updates.
Contract & Financial Management
- Assemble, distribute, and track all contracts and related documentation.
- Process budget modifications and prepare subcontractor change orders for Project Manager approval.
- Review invoices, pay applications, and vendor documents for accuracy and completeness.
- Manage project invoices, including tracking, approvals, and payment coordination.
- Maintain Notice to Owners and subcontractor certificates of insurance.
- Secure lien waivers from all vendors and subcontractors as conditions of payment.
Documentation & Compliance
- Develop and maintain detailed procedures for the submittal, review, coordination, and distribution of shop drawings, samples, and related materials.
- Maintain all records relating to subcontracts, bid packages, plans, specifications, change orders, clarifications, and as-built documentation.
- Review and prepare schedules of values in coordination with the Project Manager.
- Manage the project draw process, including submission, review, and payment approvals.
Supporting Responsibilities:
- Provide administrative support to the Sr. Vice President of Construction and Development and Project Managers as required.
Accountabilities:
- Responsible for the accurate and timely completion of all assigned duties and any additional tasks delegated by the Project Manager.
- Accountable for ensuring proper documentation, cost tracking, and subcontractor compliance throughout the project lifecycle.
