Position Description:
Network Runners, Inc. is seeking a qualified Administrative Assistants to provide professional administrative and clerical support services to the U.S. Department of Homeland Security (DHS), Federal Protective Service (FPS) Region 6.
Duties & Responsibilities:
- Provide administrative support services to the FPS Region 6 regional and field office staff.
- Compose, type, and enter information into computer systems, input data from paper or electronic forms into databases or spreadsheets.
- Prepare correspondence, documents, and mailing materials; copy data and file records appropriately.
- Receive, sort, and distribute incoming mail; prepare outgoing mail, including overnight and express deliveries.
- Schedule and set up meetings, teleconferences, and conferences; reserve rooms, prepare agendas, and take and distribute meeting minutes.
- Assist in the inventory, maintenance, and ordering of office supplies.
- Collect and disseminate mileage and maintenance data for Government-Owned Vehicles (GOV) as required.
- Maintain shared file directories for completed Facility Security Assessments, databases, and committee memorandums (both electronic and hard copy).
- Assemble and submit recurring reports and updates as required by FPS staff.
- Act as liaison between FPS field personnel and DHS Help Desk for IT, telephone, and related service issues, including initiating and closing out helpdesk tickets.
- Track 3155 case control numbers issued from the FPS Mega Center and ensure reports are completed, submitted, and reviewed appropriately.
- Provide administrative assistance to FPS Security Management, Law Enforcement, Countermeasures, and Protective Security Officer (PSO) programs.
- Monitor headquarters-assigned tasking suspense items; compile responses and prepare reports, charts, or correspondence as needed.
- Support Freedom of Information Act (FOIA) coordination by tracking and distributing requests and responses.
- Maintain calendars, training schedules, and conference room reservations.
- Manage and control facility keys, including issuance and inventory.
- Perform timekeeping support by assisting with payroll data input and verification.
Background Requirements:
- High school diploma required.
- Minimum of 5 years of administrative assistant experience supporting government or corporate operations.
- Ability to communicate effectively both orally and in writing.
- Strong knowledge of English grammar, spelling, and composition.
- Proficiency in Microsoft Office Suite and related tools.
- Resourcefulness and ability to function in a fast-paced, dynamic environment.
- Professionalism and strong interpersonal skills.
- Ability to meet planned and unplanned deadlines.
- Must present a neat, professional appearance and adhere to DHS business casual dress standards.
- Physical requirements are primarily sedentary; may occasionally involve bending, lifting, or carrying light office supplies.
