About the role

Job Description Summary

The Behavioral Health Administrative Assistant II plays a crucial role in the efficient operation of our behavioral health office. This position supports Faculty & Staff Assistance Program and the Substance Use & Intervention Treatment clinicians and interact with multiple clients with varying temperaments. This position requires exceptional organizational, administrative, and interpersonal skills to ensure a smooth workflow, excellent patient experience, and effective communication within the office. Performs high-demand office work at the front desk. discretion and judgment with considerable consequence of error.

Primary Duties:
•Manages patient records, ensuring accuracy, confidentiality, and compliance with relevant regulations.
•Ensures patients are in the electronic scheduling system.
•Responds to general inquiries regarding clinical services, appointments, fee structure, and other general questions.
•Assesses clients’ demeanor and uses de-escalation techniques if needed, alerts clinicians to possible problems.
•Address patient concerns or issues promptly and professionally.
•Manage patient feedback and implement improvements to enhance patient satisfaction.
•Oversees appointments for patients, fee collection and reporting on a computer-based scheduling / billing system.
•Collect copayments and other fees as warranted. Initiates credit card refunds as appropriate.
•Maintain schedules of several clinicians including patient appointments, meetings and other necessary actions including managing cancellations and reschedules.
•Alert the supervisor / manager when there are difficulties with scheduling or with a patient.
•Works with program manager and assistant director and other clinicians on tasks as assigned such as managing patient experience, maintaining office equipment, maintaining patient records, collecting copays from patients.
•Assist other UHC departments as needed. Other assigned duties as assigned.

Physical Demands:
Physical activity includes sitting at a desk, walking up to 150 feet to clinicians’ offices and records rooms, leaning, bending and light lifting. Potential exposure to communicable disease by virtue of working in a health care facility.

Minimum Qualifications

EDUCATION: High School Diploma or GED

EXPERIENCE: 3 years experience providing administrative support.

OTHER: Applicants may be required to complete the institution's required skills assessment to be considered. Some positions require specific skills such as word processing, spreadsheet, presentation, database, email or calendaring software, and Internet proficiency.

REQUIRED KNOWLEDGE/SKILLS/ABILITIES:

General knowledge of and skill in the practical application of generally accepted office practices and procedures. Ability to communicate effective both orally and in writing. Ability to proofread and edit written documents. Skill in various computer software packages, such as word processing, spreadsheets, database, and presentation programs, Internet, email and calendaring software. Ability to understand and follow oral and written instructions. Ability to interact effectively with internal and external parties in a courteous and efficient manner. Ability to plan, organize, prioritize, and execute multiple and continuing assignments with general instructions.

OTHER:

Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
