Fiscal Administrative Assistant - Full-Time - Remote

Lyssn is looking for a Fiscal Administrative Assistant to support our managers and employees, performing a variety of routine to complex fiscal, financial, administrative, and clerical tasks. Lyssn has an expanding SaaS operation in addition to a successful sponsored research and development program. Most of Lyssn’s sponsored programs are funded by multiple grants and contracts from the National Institutes of Health (NIMH, NIDA, NIAAA), the Annie E. Casey Foundation, and other private entities. The ideal candidate has experience in fiscal and SaaS accounting and is passionate about improving behavioral health care in a start-up environment. This individual should also thrive working remotely and can handle a dynamic workload with a proactive, driven, and energetic approach.


Job Type / Schedule

Full-time employee, 40 hours per week, remote. Participation in three-day, quarterly in-person retreats at a range of locations around the country (e.g., California, Arizona, Utah, New York, Seattle) may be required for this position. Employees will be required to be vaccinated against COVID-19 to attend in-person meetings.


Supervision

This position is available primarily under the direction of Tanya Eng-Aquino, VP for Finance and Operations, though this position will interact with all Lyssn team members. A non-disclosure agreement will be required in this position.


Essential Functions

  • Basic data entry of transactions, recording and reviewing journal entries, creating invoices, and developing spreadsheets;
  • Independently process work orders, supplier invoices, purchase orders, expense claims, and account payments;
  • Manage and maintain digital files and records, including financial transactions, supplier information, insurance, fixed asset inventories, grants, contracts, closing statements, and other agreements;
  • Track and reconcile bank and credit card statements;
  • Compile financial data to prepare monthly revenue reports and ensure that customer accounts are accurate and up to date;
  • Participate in annual audits;
  • Coordinate complex scheduling and calendar management for company meetings, including gathering documents and attending to logistics of meetings (e.g., all hands, retreats), taking notes of discussion, and preparing and distributing minutes and summaries;
  • Coordinate management functions and assist in special projects;
  • Provide administrative support by performing research, obtaining information, coordinating and transmitting the data, and checking the progress of the projects;
  • Lead and coordinate social committees and events (i.e., happy hours, recognition and celebratory events); and
  • Perform other related duties as assigned.
