About the role

Position Summary

30% - Organizational Management: scanning/digitizing of departmental records and filing within appropriate folders, Office supply inventory, key checkout, administrative email inbox management, physical inventory of space and supplies, conference room reservations and physical calendar distribution of same.

30% - Administrative Tasks: Mail/package management and notifications to recipients, assist department communications and promotions such as flyer distribution, arrange, compile and mail brochures, inserts, letters, etc., record minutes for departmental meetings and maintain electronic record of same.

15% - Account Review - Complete first level of monthly account report review. Update monthly reports within the University BI system, review, and save in appropriate departmental electronic folders.

10% Event Assistance: Logistical assistance with in-person departmental events – set up, clean up etc.

5% Asset Inventory - Conduct physical audits and tag assets to ensure asset control and business procedure compliance.

10% - Other office duties as assigned

Minimum Requirements

Knowledge normally acquired through a high school education; six months to a year of related and progressively more responsible or expansive work experience in typing, spreadsheet software and word processing; may require experience as a Cashier/Teller and in bookkeeping/accounting procedures or knowledge of technical or medical terminology and/or technical training related to the field of employment; or an equivalent combination of education and experience.

Work Hours

In person - Monday through Friday 10 am to 2 pm.

Summary of Physical Demands

Tasks do not regularly include heavy lifting but does occasionally require lifting over 25 lbs. for boxes, water jugs etc.
