About the role
Description
The Customer Service Representative at Preston Auto Body is responsible for providing professional, courteous, and effective customer service. This individual answers and routes calls, greets customers and assists the management team as needed.
Essential Functions and Duties
- Answer all incoming phone calls according to company policies and in a friendly, prompt and professional manner.
- Transfer phone calls to appropriate parties promptly and accurately.
- Take phone messages when needed and ensure they are received by the appropriate person.
- Schedule appointments as needed.
- Greet and assist all customers in a prompt, friendly and professional manner and get a signed copy of a Power of Attorney for every customer and put it into the CCC/Rome Software by RO#.
- Perform various clerical tasks as assigned by body shop management.
- Follow up with insurance companies for supplement payments and initial inspections.
- Check on all final payments and update notes in Axcessa.
- Upload all payments in the Receipts tab within ROME. The payment tab should reflect what has been posted to accounting.
- Constructively communicate with other dealership personnel as required to satisfy customer needs.
- Report to management any situation or condition that jeopardizes the safety, welfare, or integrity of the dealership, its personnel, or customers.
- Maintain personal grooming, hygiene, and uniform standards according to departmental policies.
- Arrive at work, take breaks, and depart work at the times designated by management.
- Attend meetings and training courses as scheduled.
- Ensure that work areas and customer waiting areas are kept clean.
- Other duties as assigned.

Requirements
Additional Knowledge, Skills and Abilities:
- Past Body Shop experience is a plus.
- Organizational skills.
- Active listening - giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
- Communication skills – communicate effectively with others.
- Time Management – ability to manage one’s own time.
- Basic computer skills.
- Attention to detail.
- Looking for someone that is willing to learn and wants to grow.
- Growth path to Office Manager or Body Shop Estimator.
