Job Description:
The Business & Facilities Coordinator works to support accounts payable and procurement processes with the direct supervisor. This position serves as the building coordinator for the LSU Student Health Center (SHC) and is responsible for inventory management, facility upkeep, and ensuring the space is clean and safe for students and staff. Should have a deep appreciation for a collaborative care model, partnering with all areas of the SHC, and be committed to advancing the divisional priorities of commitment to quality, communicating a sense of home, designing with everyone in mind, and cultivating a working relationship with Our Lady of the Lake Health.
Job Responsibilities:
Facilities & Building Management - 45%
Serve as primary SHC building coordinator and liaison with LSU Facility Services including on-site custodial staff. Responsible for the maintenance and upkeep of the building, grounds, and equipment. Maintain day-to-day operations of the facility and submit work orders as necessary. Follow up with facility services staff and/or contractor on pending, in progress, and closed work orders to ensure the work has been done properly and is completed. Monitor the safety and cleanliness of the interior and exterior areas by conducting weekly inspections. Responsible for minor equipment assembly and scheduling equipment preventative maintenance throughout the year. Ensure adherence to building codes and safety regulations by conducting inspections and organizing employee safety training (i.e. fire extinguisher use, etc.). Manage emergency situations such as power outages, fire recovery, and building damage via on-site triage and aftermath coordination with appropriate SHC staff and relevant external parties. Prepare LSU Environmental Health and Safety (EHS) quarterly building inspections. Maintain key log for all employees assigned keys. Assign, maintain, and deactivate SHC alarm codes. Work with Sr. Associate Director or designee to schedule quarterly drills per AAAHC requirements (i.e. fire drills, code blue, code white, etc.). Serve as SHC representative at campus-wide building coordinator meetings and trainings. Review and revise SHC Facilities and Environment policies and procedures annually, at minimum.
Business Operations Support - 40%
Responsible for assisting in the management of SHC accounts payable and procurement functions. Oversee the Facilities & Housekeeping budget and identify cost-saving measures. Review monthly work order charge outs posted to SHC accounts and advise SHC Cost Center Manger (CCM) of accuracy. Obtain quotes and coordinate scheduling of service deliveries with suppliers, and follow-up on back orders and returns of goods. Ensure all purchases and services follow University and State procurement guidelines. Serve as SHC liaison between Procurement, Accounts Payable, Copier Management, and other campus departments and suppliers. Responsible for contacting Procurement to liquidate purchase orders that have expired or are no longer needed. Process and route for payment SHC invoices including purchase orders, direct charges, and LaCarte. Review and revise SHC Procurement and Accounts Payable policies and procedures annually, at minimum.
Inventory Management - 10%
Serve as SHC Asset Custodian. Create and maintain all inventory in an organized spreadsheet or software program, and ensure that quantities of products, materials, supplies, and equipment are always maintained. Track inventory levels, oversee stock rotation and place orders for housekeeping supplies as needed. Prepare the annual equipment inventory report for LSU Property Control. Surplus all unnecessary or unwanted equipment throughout the year.
Other Duties as Assigned - 5%
Other duties as assigned by the SHC Executive team. This includes, but is not limited to, efforts that support broad divisional and institutional goals including at least 40 hours per year spent helping with Student Affairs initiatives such as Move-in Day and Welcome Week.
