Job Description

Eurofins Environment Testing Southwest is looking to add a full-time, Project Administrator to our Phoenix, AZ Laboratory location.

With guidance and direction from higher level Project Management personnel the Project Administrator coordinates and manages customers’ projects through all phases of laboratory operations, ensuring fulfillment of Eurofins Environment Testing's commitments to client requirements, error-free work, and on-time delivery. Maintains communications with clients and Account Executives and serves as a liaison between clients and laboratory operations to meet client needs. Works closely with business unit personnel to manage quotations and change orders for existing scopes of work. Monitors compliance with industry regulations, contractual agreements, program management processes, and program specifications. Works toward achieving goals for revenue, profit, and customer service through the effective utilization of laboratory capacity and definition of customer requirements.

Essential Duties and Responsibilities:

  • Manages and provides timely responses to customer inquires related to the management of projects and status of work in progress.
  • Works with Project Managers, Account Executives, Laboratory Support, and Operations staffs to meet customer requirements and resolve service and technical issues during every phase of the project.
  • Defines project requirements to ensure all contract requirements are met and communicates requirements to appropriate personnel. Works closely with internal sample receiving personnel to ensure proper receipt and login of samples.
  • Creates quotes, and writes and reviews RFP’s to obtain potential contracts and coordinates contract negotiations for existing contracts.
  • Follows up on bids submitted and tracks status to determine if the bid is a win, loss, or pending.
  • Prioritizes client requests based on due dates and complexity of response required.
  • Manages task orders, work orders, change orders, and contracts for existing work.
  • Manages subcontracting of samples to other Eurofins Environment Testing America laboratories and external laboratories.
  • Generates and reviews final reports to ensure accuracy. Facilitates corrective action when needed.
  • Prepares report narratives and is involved as needed in final report preparation.
  • Prepares invoices to customers and follows up on accounts’ receivable.
  • Maintains weekly forecast for laboratory management to determine capacity.
  • Develops business relationships with clients to further enhance customer service.
  • Participates in the overall sales process through direct discussions with clients and in coordination
    with Account Executives.
  • Other duties may be required as needed

Qualifications

  • BS/BA in Chemistry/Sciences or Business Management with coursework in Chemistry
  • Laboratory, management and customer service experience helpful especially in a fast paced environment
  • Authorization to work in the United States indefinitely without restriction or sponsorship
  • Professional working proficiency in English is a requirement, including the ability to read, write and speak in English
