The Portfolio Operations Associate plays an essential role in supporting the daily operations of portfolio management, ensuring the accurate and timely processing of paperwork, trade instructions, and client-related transactions. This position involves coordinating with internal teams, such as the Trading Department and Financial Advisors, to ensure smooth account management and the accurate allocation of funds to portfolio models. The ideal candidate will have strong organizational skills, a detail-oriented approach, and the ability to work effectively in a fast-paced, collaborative environment. A proactive attitude, exceptional communication skills, and the ability to manage multiple tasks simultaneously are essential for success in this role.
Key Responsibilities:
· Process new account paperwork and daily operational documents, ensuring that all forms are completed accurately and in a timely manner.
· Act as the primary Client Service Representative for day-to-day back-office operations, handling client inquiries and ensuring smooth communication.
· Collaborate with the Trading Department to ensure that all incoming paperwork is processed properly and that trade instructions are clear for accurate trade entry.
· Track, verify, create, and save reports for all incoming documents to ensure proper record-keeping and compliance.
· Oversee the onboarding process for new representatives, guiding them in correctly filling out account paperwork, trade allocations, and other essential documentation.
· Maintain existing client relationships by addressing client inquiries, keeping key information updated, and ensuring that client needs are met promptly.
· Provide administrative support to Financial Advisors, assisting with their daily business activities and ensuring smooth operations.
· Perform the daily input of trades, liquidations, cash blocks, and other account actions, ensuring the accurate allocation of funds to portfolio models for both new and existing clients.
· Manage and process daily liquidation requests, ensuring timely and accurate execution.
· Prepare internal and external reports, delivering them as required by management and leadership teams.
· Ensure that all requested reports and updates are provided promptly and accurately to the management team.
RequirementsQualifications:
· Strong organizational and communication skills, with the ability to prioritize tasks and manage multiple responsibilities.
· Ability to analyze and enhance operational processes to improve efficiency and accuracy.
· High degree of initiative and self-sufficiency, with the ability to perform duties with minimal supervision.
· Strong proficiency in MS Office Suite, particularly Excel, to manage and analyze financial data.
· Exceptional attention to detail and accuracy in handling financial documentation and trade instructions.
· Strong time-management skills, with the ability to meet deadlines and prioritize effectively.
· Ability to work successfully in a collaborative, team-oriented environment.
· A proactive approach to problem-solving and a commitment to high-quality service delivery.
Physical Requirements
· Ability to work for extended periods at a desk using a computer with a keyboard, mouse, and monitor.
· Occasional repetitive motions for computer equipment use.
· Ability to lift up to 10 pounds if/when necessary.
· Regular use of telephone and email for communication.
· Work is typically performed in an office setting, involving routine sitting, bending, and stooping.
