Job Summary: The Head of Transaction and Lease Administration is responsible for overseeing and managing all aspects of corporate real estate transactions, including lease negotiations, acquisitions, dispositions, and lease administration activities. This role involves developing and executing strategies that align with the company’s real estate objectives, ensuring efficient use of resources, optimizing portfolio performance, and maintaining compliance with lease agreements and regulations. KeyBank’s total portfolio consists of 1,100 leased and owned properties representing over 8 million square feet and 947 bank branches.
Key Responsibilities:
Lease Transactions:
- Lead and manage lease negotiations, renewals, and terminations for corporate properties.
- Oversee the acquisition and disposition of properties, ensuring alignment with corporate strategies and budget constraints.
- Collaborate with legal and finance teams to draft and review lease agreements, ensuring favorable terms for the company.
- Manage the overall lease portfolio to ensure cost efficiency, risk mitigation, and compliance.
Lease Administration:
- Supervise the lease administration team to ensure accurate and timely processing of lease documents, rent payments, and critical dates.
- Ensure the integrity of lease data and maintain accurate lease tracking systems.
- Ensure compliance with lease terms, managing and mitigating risks associated with lease agreements.
- Oversee and resolve lease-related issues, such as disputes or breaches of contract.
- Administer all property tax payments and related tax protest opportunities.
- Manage all tenant rent processing and collections.
Strategy & Portfolio Management:
- Develop and execute real estate strategies to support the company’s growth and operational efficiency.
- Work closely with senior leadership to align real estate decisions with corporate goals, including cost optimization, space utilization, and portfolio management.
- Monitor real estate market trends and provide strategic insights to inform decision-making regarding leases and acquisitions.
Site Acquisition (New Branch & Office):
- Partners with Channel Management and the Retail Bank on the development of the branch channel strategy. Drives all site acquisition activity for new branch development. Supports consolidation efforts through lease analysis, identification of and deferred maintenance, and facility disposition. Creates an environment of continuous improvement within department, regularly benchmarking results against competitors and best practice companies.
- Works collaboratively with Real Estate Strategic Occupancy, Design and Construction groups to develop and implement space/furniture/workplace design, project and portfolio management strategies.
Financial Management & Reporting:
- Prepare and manage the corporate real estate budget, ensuring that all transactions and lease administration activities are completed within the allocated financial resources.
- Develop and present reports on portfolio performance, lease transactions, and market conditions to senior management.
- Implement cost-saving initiatives through effective lease negotiation and portfolio management.
Risk Management and Compliance:
- Monitor legal and regulatory changes affecting real estate transactions and lease administration, ensuring the company remains compliant with relevant laws and regulations.
- Manage risk assessment processes related to lease negotiations and acquisitions.
- Develop and maintain comprehensive risk management strategies to address potential challenges in the real estate portfolio.
