Summary: This position manages the full lifecycle of grants data—from intake and documentation to reporting, analysis, and compliance. The role leads a small team of data professionals, ensuring high-quality data entry, validation, and reporting practices across CAREWare, E2Fulton, and other healthcare data systems. The Grants Data Manager transforms complex datasets into actionable insights, supports leadership decision-making, and ensures alignment with regulatory requirements including HIPAA, Ryan White Program standards, HRSA expectations, and evolving grant guidelines. 

 

The ideal candidate excels in technical systems, project coordination, and cross-department collaboration. They drive continuous improvement by refining workflows, developing policies, automating processes, and promoting a culture of accountability and data excellence. Strong communication, analytical thinking, and the ability to manage multiple priorities are essential to success in this role.

Requirements

 · Administer and maintain grants databases and systems (CAREWare, E2Fulton), ensuring accuracy, integrity, and efficient 

  workflows.

· Oversee data entry protocols and quality control procedures for all grant-funded programs.

· Present training sessions to staff to ensure compliance with Department of HIV elimination (DHE) requirements, reporting standards, and documentation

· Mentor and train reporting staff on data protocols, validation procedures, and proactive data stewardship.

· Promote accountability and continuous learning through best practices in documentation, timeliness, and data integrity.

· Respond to internal and external data requests related to grants.

· Generate performance reports and data summaries for leadership, finance, communications, and board review.

· Translate complex datasets into actionable insights that support strategic decision-making.

· Review performance measures and grant-related reports to identify gaps, inconsistencies, and opportunities for improvement.

· Collaborate with the Health Information Manager to align reporting strategies with organizational goals.

· Develop and refine grants data workflows, policies, and procedures.

· Lead automation efforts to reduce manual processes and improve reporting efficiency.

· Supervise and mentor direct reports, supporting grant literacy and technical skill development.

· Review grant contracts to ensure correct and current versions are used for each funding stream.

· Collaborate with Finance, Grants Management, and Client Services to verify contract documentation and ensure reporting

  alignment.

· Ensure compliance with HIPAA, Ryan White Program requirements, HRSA standards, and other regulatory frameworks.

· Conduct regular audits and data quality checks to maintain high standards of integrity.

· Serve on PIHC’s Continuous Quality Improvement Committee to support organization-wide data excellence.

· Review reporting staff’s data entries for adherence to established procedures and documentation protocols.

· Monitor regulatory updates and evolving grant requirements, ensuring the team is informed and trained.

· Provide technical expertise and consultation on grants data to internal teams.
