Job Description
Location: Remote with ~30% travel
The Operations & Event Associate will have the exciting opportunity to work directly with national Privia leaders to own the execution of physician meetings, events, and conferences across the organization. Reporting to the Manager of Marketing & Communications, the Operations & Event Associate will be responsible for end-to-end support for events both in-office and offsite in our markets.
Essential Job Duties:
- Own all pre-, day-of, and post-event logistics planning including but not limited to: venue selection, food, and beverage selection, AV requirements, communications support, vendor payments, gifts, etc.
- Ensure the registration and attendance process is optimized for each event utilizing Blackthorn, our Event Registration system, and pre/post communications are queued up with accurate information
- Manage external vendor and internal stakeholder requests while establishing collaborative relationships
- Coordinate conference logistics and application submissions for Privia attendees
- Travel to and support large scale offsite event delivery and execution (as needed)
- Manage initial outreach for contracts and oversee the execution of contracts between our Legal team and venue and/or vendor, to ensure contract deadlines and requirements are met
- Work closely with internal stakeholders to develop event theme, branding, presentation and communication needs
- Own the post-event feedback process by creating surveys and analyzing needed improvements/successes for future events
- Support the sending of corporate and practice communications in Pardot (email marketing tool) and SMS-Magic (text messaging tool) as needed
- Lead day-to-day operations of our marketing portal including large-scale market orders, care center orders, uploads, troubleshooting, procurement, etc.
- Manage the promotional item ordering process as requested as well as internal employee culture items
- Serve as product owner for appropriate event and operational tools/services including webinars, renewals, maintenance, troubleshooting, etc.
- Support National email campaign process including but not limited to tracking, drafting and setting up email campaigns
- Perform other duties as assigned
Qualifications
- Bachelor’s Degree in Marketing, Communications, Hospitality, and/or Business preferred
- 2+ years experience in event planning preferred
- Project management experience; Ability to handle multiple projects and meet strict deadlines
- Strong writing and communication skills with all levels of the organization
- Must comply with HIPAA rules and regulations
- Experience in Pardot preferred
- Experience in Healthcare preferred

Colorado, New York, New Jersey, California and Washington Residents Only: The salary range for this role is $50,000.00-$60,000.00 in base pay and exclusive of any bonuses or benefits. The base pay offered will be determined based on relevant factors such as experience, education, and geographic location.
