Description
Maps Credit Union seeks a self-motivated Internal Solutions Officer to join our dedicated five-person team in the Internal Solutions department. This position provides organizational support and oversees the implementation and documentation of operational policies and procedures. Additionally, this position will be responsible for overseeing the Credit Union’s document repository and e-forms system (Laserfiche). The candidate best suited for this role will spend approximately 80% of their time independently focusing on an e-forms system that requires attention to detail, creative problem solving and tech-savviness.
As an Internal Solutions Officer, you will:
- Assist with developing new programs, procedures and updates by testing, creating documentation and ensuring compliance with all operational policies and procedures.
- Work cross-organizationally to ensure timely and thorough communication and implementation of applicable program changes.
- Manage the Credit Union’s document repository and e-forms system, including but not limited to:
- Diagram and build workflows, forms and processes using Regular Expressions, CSS, HTML and database queries.
- Document and maintain procedures for training and ongoing usage.
- Collaborate with branches and departments to facilitate changes to processes, policies and training requirements/materials.
- Oversee the scheduling of maintenance and upgrades.
- Monitor, measure and provide feedback on all Laserfiche process performance and data.
- Assist with the maintenance of the organization’s document imaging program including, but not limited to, administration and auditing of documents scanned and stored on Laserfiche, training, and promoting efficiencies of document storage and retrieval.
- Maintain the imaging system/procedures documentation in both electronic and paper forms.
- Post transactions received via mail, interoffice, electronic communication/documentation in a timely and accurate manner while ensuring all transactions comply with regulations and internal policies/procedures.
- Suggest and/or help prepare edits to manuals and ensure information is up-to-date in regard to procedures as well as compliance regulation requirements within manual sections of the IRA, Lending, and Financial Services manuals.
- Serve as a resource for branch and department support as needed by answering phone calls and emails in a professional and timely manner and help branch staff troubleshoot online banking and mobile banking issues as they arise.
- Follow regulatory and policy compliance requirements, which include those efforts in compliance with the Bank Secrecy Act (BSA), Office of Foreign Asset Control (OFAC) and Anti-Money Laundering (AML) Regulations, Identity Theft Red Flags, and other compliance-related policies.
Requirements
- Associate's degree in a related field and three years of demonstrated success in financial institution operations, or an equivalent combination of education and experience.
- Ability to develop, edit, and communicate written processes and procedures.
- Must be bondable.
Knowledge, Skills & Abilities Required:
1. Excellent written and oral communication skills; ability to communicate effectively and project a professional image when giving and taking information in writing, in person, and over the phone.
2. Excellent organization and project management skills.
3. Ability to develop, facilitate and conduct training programs.
4. Advanced computer skills including Microsoft Office products, knowledge of Regular Expression, CSS, HTML and database queries. JavaScript and SQL knowledge preferred.
5. Ability to take initiative and prioritize tasks; good time-management, problem-prevention, and problem-solving skills.
6. Ability to remain flexible in order to adapt to changes in work environment.
7. Ability to work accurately with close attention to detail.
8. Ability to maintain confidentiality of sensitive information.
9. Ability to work with co-workers, members, and outside agencies professionally and tactfully.
10. Possess a work ethic that includes neatness, punctuality, and accuracy.
11. Exhibit a professional, businesslike appearance and demeanor.
Non-exempt Starting Range: $26.87 – $29.86 per hour
Schedule: Monday – Friday, with rotating Saturdays (A flex day is offered during the week if someone is scheduled to work on a Saturday).
