Position Summary: 

We are seeking a highly motivated and skilled Administrative Assistant to support the Sales Vice President of our Walnut Creek, CA office. In this role, you will act as the “right hand” of the SVP, supporting the overall calendar. We are willing to have someone who will drive internal operational improvements and efficiencies and provide administrative support to the SVP by coordinating meetings, travel, and other departmental activities like tracking achievements. 

 The ideal candidate will have excellent organizational and communications skills, be oriented, and be able to multi-task in a fast-paced environment. 

 

Responsibilities: 

  • Coordinate all SVP meeting arrangements, including meeting preparation, agenda, conference call set-up, and alignment with all meeting participants, including customers, vendors, and partner C-level executives 

  • Coordinate travel arrangements, and travel visas, including outreach to key internal and external business partners 

  • Other duties and responsibilities as identified by the SVP or by Director, Executive Project Operations 

  • Ownership of quarterly business review materials, operational updates, periodic KPI reporting 

  • Produce power-point decks to communicate business plans and strategies to various levels of the global organization 

 

Requirements:  

  • 3-7 years’ experience supporting an executive's calendaring and travel needs

  • Expert level of usage of Microsoft Excel with strong ability to automate reports (pivots, VLOOKUP’s, macros, etc.) and Microsoft PowerPoint to visualize and share data 

  • Skilled in the use of computers and related software applications, including but not limited to MS Office, Org-Chart Software, Workday, SAP, Microsoft Dynamics 365, and Salesforce (for reporting and data verification purposes) 

  • Ability to prioritize tasks and activities as well as delegate and manage tasks throughout the organization and within available resources 

  • Advanced verbal and written communication skills throughout the organization to all level of colleagues, team members, cultures and management 

  • Advanced skills in project planning and project management reaching into all sales related and operational activities 

  • Flexibility to travel up to 15% of the year with your executive
