Job Summary:
We are currently seeking a highly organised and experienced Chief Administrator to support the operational and strategic functions of the organisation. This is a remote, part-time position, requiring 20 hours per week spread over five days (Monday to Friday). The role offers flexibility in working hours and the opportunity to make a meaningful impact within a growing, purpose-driven organisation.
Key Responsibilities:
• Lead the day-to-day administrative operations of the organisation.
• Coordinate training schedules, course enrolments, and communication with delegates and trainers.
• Manage financial administration, including invoicing, expense tracking, and reporting using Xero.
• Oversee digital communications, including newsletters and email campaigns via MailerLite.
• Maintain document management and collaboration systems using Microsoft 365 Business (Outlook, Excel, SharePoint, Teams, etc.).
• Provide administrative support for virtual and in-person training events.
• Ensure compliance with data protection regulations, including GDPR.
• Act as the primary point of contact for internal and external stakeholders.
• Support process improvement, project coordination, and strategic development activities.
Person Specification
Essential:
• Significant experience in a senior administrative, operations, or office management role.
• Proficiency in:
o Xero (finance/invoicing)
o Microsoft 365 Business (including Outlook, Excel, SharePoint, Teams)
o MailerLite or similar email marketing platforms
• Excellent organisational and time management skills, with the ability to prioritise tasks effectively.
• Strong communication skills, both written and verbal, in English.
• Comfortable working independently in a remote setting.
• High attention to detail and a proactive, solution-oriented mindset.
• Commitment to diversity, inclusion, and the aims of the organisation.
Desirable:
• Experience in the healthcare, education, or non-profit sector.
• Familiarity with CRM systems and scheduling tools.
• Understanding of dermatology, public health, or health equity (not essential but beneficial).
Requirements

3+ years providing high-level administrative and operational support to senior leadership.

Proven experience developing and enforcing organizational governance and SOPs (policies, meeting protocols, accountability).

Expert-level task and project management; ability to keep multiple teams on time and on task ("bossy" is encouraged).

Exceptional professional communication for liaising with stakeholders, committees, and partners.

Proficiency in scheduling, minute-taking, email management, invoicing, and basic bookkeeping.

Proficient with MS Teams and cloud-based Shared Drives
