Job Summary:
Our client is seeking a highly organized and proactive Travel/Accommodation Administration Support Specialist with experience in INX software . This role involves coordinating travel and accommodation arrangements for employees and clients, ensuring seamless logistics and efficient management of booking systems. The ideal candidate will have strong communication skills, attention to detail, and the ability to work in a fast-paced environment.
Key Responsibilities:
Travel Coordination:
- Arrange and manage domestic and international travel for employees and clients, including flights, transportation, and accommodation.
- Utilize INX software to manage travel approvals, bookings, and scheduling efficiently.
- Ensure compliance with company travel policies and budget constraints.

Accommodation Management:
- Source and book appropriate accommodations based on client and employee needs.
- Maintain a database of preferred vendors and accommodation providers.
- Handle last-minute changes or cancellations and resolve issues promptly.

Documentation and Reporting:
- Keep detailed records of all bookings, itineraries, and expenses in compliance with company guidelines.
- Generate regular reports using INX software to monitor travel costs and trends.

Communication and Support:
- Act as the primary point of contact for all travel-related queries.
- Coordinate with employees, clients, and service providers to ensure smooth logistics.
- Provide clear travel itineraries and documentation to travelers.

Process Improvement:
- Identify opportunities to streamline travel and accommodation processes.
- Stay updated on industry trends and new functionalities of INX software.

Qualifications and Skills:
- Proven experience in travel or accommodation administration, preferably within the corporate or mining sector.
- Proficiency in INX software, including INX Inflight, INX Intuition, and INX +Process, is required.
- Strong organizational skills with a keen eye for detail.
- Excellent written and verbal communication skills.
- Ability to multitask and manage competing priorities in a deadline-driven environment.
- Proficiency in MS Office Suite, particularly Excel and Word.
- Experience in vendor management and negotiations is a plus.
- A proactive and problem-solving mindset.
