Summary
The Business Tax Associate performs professional analytical, administrative, and program support work for the City’s Business Tax programs. The position requires substantive knowledge of state and local business tax laws, including Business License, Business Personal Property, Admissions, Lodging, Transient Occupancy, and Meals Tax. The incumbent provides analysis related to customer issues, program processes, and legislative changes; supports billing operations; conducts data gathering and reporting; assists with procedure and policy development; maintains records; and serves as a backup leader for the Business Tax team. Work includes operational and financial analysis, coordination with internal and external stakeholders, and performance of administrative functions to support program effectiveness.
Examples of duties
Key Responsibilities:Business Tax Analysis and Program Support
- Understand and apply business tax laws, ordinances, and regulations across multiple tax types.
- Conduct research and provide analysis related to complex customer inquiries, operational challenges, and business tax issues.
- Review legislative or regulatory updates and assess impacts to existing programs, processes, and services.
- Assist in the design, development, and improvement of Business Tax-related procedures and workflows.
- Prepare reports, summaries, and recommendations to support management decision-making.
Billing Operations and Quality Assurance
- Support the Revenue Billing Manager with billing-related projects, including implementation tasks and procedural coordination.
- Lead annual and statutory bill quality-check efforts to ensure accuracy, compliance, and timely processing.
- Assist with updates to billing systems, tools, and databases.
Coordinate administrative and procedural tasks required to complete billing operations.
Data Gathering, Reporting, and Performance Metrics
- Collect, compile, and analyze business tax data for reporting purposes.
- Maintain and update tracking tools and metric dashboards to support unit performance monitoring.
- Serve as a secondary point of contact for data requests, information sharing, and routine reporting needs.
- Support development of written reports, presentations, and data summaries for internal and external use.
Records Management and Administrative Coordination
- Maintain and organize departmental file systems, including creating files, preparing documentation, and sorting, scanning, and filing records.
- Conduct records maintenance activities in coordination with the Department of Finance Administrative team, ensuring compliance with retention and destruction guidelines.
- Assists with the coordination of communications, program functions, and events for the work unit.
Policy, Procedure, and Documentation Support
- Assist with drafting, reviewing, and revising business tax policies and procedures.
- Recommend improvements to ensure consistency with laws, best practices, and operational needs.
- Support dissemination of updated procedures and related communications to staff and external stakeholders.
Team Support and Lead Worker Duties
- Serve as a backup manager for the Business Tax team in the absence of the Customer Service Supervisor.
- As assigned, act as a lead worker by assigning tasks, monitoring work completion, and guiding paraprofessional or support staff.
- Assist with training coordination, onboarding, and technical support for staff members.
- Support supervisors and managers with personnel-related tasks when delegated.
