ICMS is seeking two Dispatchers (Warehouse & Logistics) to provide dispatcher expertise in warehousing and logistic support services for the Division of Logistics Services (DLS) at one of the warehouse locations. DLS operates the National Institutes of Health (NIH) Supply Center (NIHSC) warehouse and the Property Reutilization and Disposal Section (PRDS) Warehouse. The NIHSC is comprised of an 85,000 sq. foot warehouse in Gaithersburg, MD, and an on-campus NIH Supply Store in Building 10, located in Bethesda, MD. The NIH Supply Store, BLDG 10, is a 3,000 sq. foot space which operates as a retail storefront where customers can shop in person. The PRDS Warehouse is a 68,000 sq. foot space which operates Monday through Friday 7:30am to 2pm for disposal and reutilization operations in Rockville, MD. 

  

Essential Duties and Responsibilities:


The Dispatcher's responsibilities include but not limited to:

  • Loading/off-loading of accountable inventory on trucks, and prepping/staging (shrink-wrapped) of pallets containing varying commodities of inventory
  • Ability to generate and submit outbound logs/reports that include the order numbers delivered by driver
  • Experience using and/or proficiency with inventory/distribution management systems
  • Keeping records and reports
  • Providing route and destination information and instructions to the drivers. Receiving and dispatching orders to drivers for deliveries. Organizing/segregating orders by building number
  • Prioritizing calls according to urgency and importance per the guidance of the COR and or the Project Manager
  • Performing quality assurance and ship confirmation. Inventory stock as needed. Arranging shipments by checking stock to determine inventory levels, anticipating delivery requirements and placing/expediting orders. Directing deliveries by examining items, destination, route, rate, and delivery time. Verifying items shipped by matching the packing slip, reconciling quantities, and noting discrepancies.
  • Receiving emergency and non-emergency calls and recording significant information
  • Receiving and dispatching orders for products or deliveries within 1 business of orders placed in the grid
  • Receiving emergency and non-emergency calls and recording significant information
  • Addressing customer feedback records within 4 hours regarding issues related to deliveries by transmitting information or providing solutions to the customer service representative i.e., providing proof of delivery, pick up and exchange for wrong product delivered, recovering damaged product delivered to customers, product delivered to wrong customer
  • Monitoring the route and status of field units to coordinate and prioritize their schedule
  • Providing field units with information about orders, traffic, obstacles and requirements
  • Entering data in computer system and maintain logs and records of calls, activities and other information
  • Filing customer packing slips and provide 1 copy to the NIHSC Customer Service Representative within 1 business day
  • Monitoring any sudden route changes or road construction issues and working with drivers to establish new routes for timely deliveries
  • Notifying COR/management within 1 hour of vehicle accident or mishap during deliveries.

Requirements

  •  At least five (5) years of experience dispatching for a warehouse or logistics operation 
  • Ability to read, write, speak, and understand English fluently 
  • Shall be citizens of the U.S. 
  • Proficient in Microsoft Office 365 applications (e.g., Word, Excel, Teams, etc.)

  

Full-time Day Shift: Monday-Friday, 7:00AM to 3:30PM

Pay Rate: $85,000 -  $105,000/annual
