JOB SUMMARY
The Project Coordinator supports the medical equipment planning team by managing procurement activities, documentation, and data entry in Freight Train, Attainia and SharePoint. Key responsibilities include coordinating quotes, orders, and vendor communication; scheduling meetings, site walks, and readiness activities; preparing agendas, minutes, and action items; and tracking milestones, budgets, deliveries, and installations. The role ensures accurate records, facilitates communication across teams, and supports activations, move-ins, and special projects. This position provides critical logistical and administrative support while building knowledge of capital planning, procurement, and construction workflows as part of a project management career path.

EXPERIENCE AND EDUCATION
Required
- Education
Associate's Degree or equivalent military training or 2 years of college with an emphasis on logistics, project management, biomedical technology or a related field
Extensive experience may be used in lieu of formal education

2 years experience providing support and coordination for mid-to-large scale projects

JOB DUTIES
- Support the medical equipment planning team by coordinating and tracking activities related to procurement, project documentation, and equipment planning data entry.
- Assist with quote gathering, order verification, lead time tracking, and vendor coordination; work directly with Supply Chain and vendors to support purchasing workflows.
- Maintain and update Attainia planning records and SharePoint folders to ensure documentation is accurate, organized, and accessible for project team members.
- Coordinate and schedule meetings, site walks, and readiness activities with clinical stakeholders, vendors, and internal departments.
- Prepare and distribute meeting agendas, minutes, and action items; follow up to ensure resolution or completion.
