Duties and Responsibilities
This position serves as the Executive Assistant to the General Counsel, Agency Clerk and Office Manager in the State Health Office. Providing support and performing highly responsible and complex duties with minimum supervision. This position works independently in making decisions and obtaining solutions to routine problems.
Serves as the Deputy Agency Clerk for the Department of Health.
Serves as the Personnel Liaison for the Office of the General Counsel, State Health Office.
Incumbent is responsible for purchasing goods and services and processing all invoices for expenses incurred for the Office of the General Counsel; obtaining approval and submitting to Finance and Accounting within 5 working days; processing purchase orders through MyFloridaMarket Place or purchasing through P-card; and reconciling all purchases within the unit. Ordering goods and services may include contacting vendors to order, coordinating with non-contract vendors to register on MFMP, researching items and vendors for cost comparisons, requesting invoices and resolving discrepancies. Maintains all supplies needed for the office, which includes ordering, stocking, and maintaining inventory.
Reviews, stamps and distributes mail and incoming documents for the Office of the General Counsel.
Maintains files and records of office correspondence, documents and other materials.
Prepares and edits correspondence, reports and documents for the General Counsel and attorneys. All documents are proofread for spelling and grammatical errors. All work product is completed by assigned due date. Copies are forwarded to appropriate parties in a correct and timely manner.
Answers phones and ensures incoming calls are answered promptly.
Maintains calendar for the General Counsel. Pre-plans and schedules appointments, meetings, conferences, and hearing dates.
Prepares travel arrangements for General Counsel and Agency Clerk, which include airline reservations, rental car, hotel room, etc. Processes travel reimbursement claims.
Assists with maintaining assigned contracts for the Office of the General Counsel.
Performs related work as required by the General Counsel, Deputy General Counsel, or Agency Clerk, including assisting other support staff and other attorneys.
Incumbent may be required to work before, during and/or beyond normal work hours or days in the event of an emergency. Emergency duty required of the incumbent includes working in special needs or Red Cross shelters, or performing other emergency duties including, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural.
