Job Title: Summer Programs Manager

FSOM Departments: Frost School of Music Preparatory Programs

Job Type: Seasonal; February 1st – July 31st

The Frost Summer Camps Programs Manager is responsible for the day-to-day management of camp operations, including schedules, registration, and communication with families. They oversee dorm counselors, collaborate with the Assistant Programs Director on camp activities and recitals, and handle parental communication, safety, and logistics, making necessary purchases for a successful camp experience.

Primary Duties and Responsibilities:

Programming Planning and Execution

  • Efficiently manage day-to-day administrative functions of Summer Programs, including scheduling camp classes, concerts, and activities.

  • Collaborate closely with the Office Manager to develop and execute a comprehensive Camp Dormitory Program.

  • Organize before and after-care programs, supplying necessary materials and snacks.

  • Develop and distribute individual daily schedules for campers, teachers, and staff.

  • Coordinate all camp-related purchases and activities in consultation with the Office Manager.

  • Work in close collaboration with the Summer Program Coordinators to meticulously implement a comprehensive curriculum and ensure the seamless operation of all program components.

  • Oversee the seamless registration process for all camp enrollees. This includes proactively monitoring and responding to incoming phone calls and email

  • Accommodate special requests from parents, such as dietary and medical needs.

  • Identify and recruit camp teachers, staff, and volunteers.

  • Provide leadership and clear roles for dormitory counselors.

  • Consult with teachers to align class goals and concert preparation.

  • Oversee the Camp Artistic Merit Scholarship and Need-Based Financial Aid awards as outlined on the camp website.

Logistics & Facilities

  • Adhere to University rules and procedures communicated by the University Program Office Manager.

  • Facilitate transportation arrangements, including ride shares and airport transfers for out-of-town campers.

  • Liaise with University personnel to coordinate camp activities and facilities.

  • Ensure proper storage and inventory management of camp equipment.

  • Collaborate with the University Parking Department to facilitate parking arrangements for teachers and staff.

  • Create informative materials for camper families regarding final concerts and parking instructions

Marketing & Outreach

  • Create and strategically market promotional materials for each summer programs

  • Promote the University of Miami throughout the camp to prospective students and parents, arranging tours and presentations.

  • Consistently monitor the website to ensure its real-time relevance, in collaboration with the Frost Webmaster, promptly dispatching necessary updates.

Other duties as assigned

Minimum Qualifications:

  • Bachelor’s degree in music required, master’s degree in relevant field preferred.

  • Minimum 4 years of relevant experience. Any relevant education, certifications and/or work experience may be considered.

Skills & Abilities:

  • Ability to communicate with all levels of employees; customer-oriented

  • Skills in assessing, organizing, prioritizing multiple tasks, projects

  • Strong skills in written and verbal communication

  • Ability to lead, motivate and direct others

  • Knowledge of MS suite (Word, Excel, PowerPoint)
