Pay Range
$38.03 - $45.63 Hourly
This is the lowest to highest salary in good faith we would pay for this role at the time of this posting. Pay will not be below any applicable local minimum wage. Job Description
We have an opening for an Administrative Specialist. You will perform a full range of complex and difficult administrative assignments in a dynamic and fast-paced environment with frequent interruptions and conflicting priorities which require independent judgment, adept organizational and communication skills. This position is in the National Security Engineering Division (NSED) within the Engineering Directorate providing support to the Advanced Sources and Detectors (ASD) Scorpius project.
This position offers a hybrid schedule, blending in-person and virtual presence. You will have the flexibility to work from home one to two days per week.
You will
- Provide complex administrative support to the ASD Scorpius Project Team Lead and other project team members, including managing complex calendars to independently determine scheduling priorities for management staff.
- Represent management in daily matters to gather, clarify and disseminate information and coordinate activities; respond on their behalf on administrative matters to all levels of personnel, both internal and external to the Laboratory.
- Coordinate, select, and compile data from multiple sources for complex reports and presentations.
- Track a high volume of multi-faceted action items; coordinate the timely flow of paperwork, checking for accuracy and completeness prior to submission.
- Generate correspondence on your own initiative; create and edit email communication and presentations on behalf of management.
- Coordinate internal and external visits, including preparation of agendas, badging, and information dissemination.
- Arrange domestic and foreign travel with dynamic itineraries and prepare expense reports.
- Perform all other duties assigned.
Qualifications
- This position requires an active Department of Energy (DOE) Q-level clearance or active Top Secret clearance issued by another U.S. government agency at the time of hire.
- Advanced administrative experience with accurate keyboarding, proficient editing skills, and a high-level of attention to detail to prepare multiple complex documents.
- Excellent organizational skills and experience working under minimal supervision, in a fast-paced environment with rapidly changing priorities, deadlines and frequent interruptions.
- Excellent communication and interpersonal skills necessary to interact effectively with a diverse workforce and all levels of management.
- Advanced computer skills and experience with MS Office and the ability to learn new software quickly.
- Effective problem-solving and decision-making skills to anticipate, identify, and independently recommend appropriate actions and solutions to complex administrative problems.
- Ability to be self-motivated and flexible, exercising a high degree of discretion and mature judgement in handling business sensitive information, as well as personnel interactions.
- Experience performing effectively in a team atmosphere as well as independently.
