JOB SUMMARY
ONEOK is looking to add a Staff Specialist II to our Capital Projects team. This role will provide strategic and tactical support in areas such as administrative services, application and business support, audit readiness, reporting, special projects and others. This position is eligible for a hybrid schedule.Preferred Skills and Experience:
• Familiarity with Spotfire
• Well-developed skills in Microsoft Office Suite
o Word: create and edit documents, formatting, tracking changes, grammar,
o Excel: create and edit workbooks, formatting, filters
o PowerPoint: create and edit presentations, importing graphs and/or charts
o Outlook: create emails, manage contacts, create and manage calendars, plan meetings, manage folders, auto reply, signatures, reminders
o Teams: create and manage meetings, create teams and channels, send/receive messages, edit files, collaborate with team members
• SharePoint: maintaining SharePoint site, manage site access and permissions
• Strong communication and follow-up abilities
• Strong analytical abilities and strategic mindset
• Excellent critical thinking skills
• Highly organized with attention to detail
• Ability to handle multiple responsibilities at once
Job Profile Summary
Provides administrative support to a senior-level executive.
Essential Functions and Responsibilities
- Provide administrative support for a senior-level executive including composing, preparing, and/or editing correspondence and reports
- Provide information and/or guidance to outside visitors, managers, customers, regulatory agency personnel, vendors, employees, and others concerning but not limited to:
- Executive's schedule
- Dissemination of confidential or sensitive information
- Corporate policies and procedures
- Answer executive's telephone. Verify, approve, and/or disseminate requests for information, invoices, news releases, and correspondence
- Calculate, process, and/or prepare correspondence and reports utilizing computers and applicable software, for example:
- Executive’s personal/business correspondence
- Invoices and expenses
- Special projects
- Budgets
Education
- Associate's Degree in office administration or an equivalent combination of formal education and the following job related experience
Work Experience
- Experience providing administrative support to an executive
- Experience in use and function of office equipment applicable to position including computers, calculators, photocopiers, and facsimiles
- Experience interpreting and/or administering policies, procedures, and use of terminology applicable to position
- Experience and training related to:
- Accessing general ledger accounts
- Word processing and spreadsheet software such as Microsoft Word and Excel
- Developing and maintaining physical and/or electronic filing systems
- Handling confidential and/or sensitive information
- Planning conferences, traveling arrangements and meetings
- Experience interacting, advising, directing and communicating effectively
- Experience reading, interpreting, editing, and/or extracting information from various sources including policies and procedures, manuals, reports, contracts, and regulations
- Experience composing and preparing correspondence and reports
Knowledge, Skills and Abilities
- Knowledge of: organizational structures and terminology of corporation and its business segments
- Ability to: apply commonly accepted grammar and punctuation
- Ability to: apply addition, subtraction, multiplication, and division. Application of decimals and percentages
