Rebate Processing and Quality Control Lead

IEM is looking for a Full Time – Rebate Processing and Quality Control Lead to work remotely in the United States – who will be responsible for supervising Processing/QC staff and ensuring all program applications are in compliance with federal and state regulations. Rebate/QC Lead will develop and maintain the program quality control standard operating procedure, training material and will assure that established policies, processes and procedures are followed in conjunction with daily operations through observation and comprehensive review. Rebate/QC Lead will be engaging with key stakeholders on the project team and serve as liaison for inquires or concerns pertaining to applications and project management practices.
Candidate must be attentive to detail, understand program policies, analytical, and possess good written and interpersonal communication skills. Candidate must also be experienced with overseeing multiple subordinates and conducting performance trainings to encourage steady production.
Primary Location:
- Candidates can originate from anywhere in the United States, you will work remotely from home or personal office location.
- All remote work environments require the ability to maintain minimum Internet speeds of 25 Mbps upload and 3 Mbps download, as well as a ping rate of 100 MS or less during working hours, regardless of the type and number of devices using your Internet connection. You must also have account privileges and access to your Internet service provider account during working hours for the purposes of maintaining the Internet connection, if needed.

Essential Functions:
- Manage team Rebate Processing Specialists. Develop work plans and assign daily tasks.
- Continually monitor rebate application, approval, coupon issuance and redemption volume. Manage individual workload, productivity, and communications that enable accurate, efficient, and policy compliant processing.
- Review records for fraud, waste, inconsistencies, investigate, and collaborate with and internal partners to resolve issues with analysis and customer service skills. Where problems arise, log support issues, communicate, resolve, and escalate according to defined standard operating procedures.
- Review specialist work for accuracy and quality control daily. Conduct monthly one-on-one performance meetings.
- Provide specialist training on program changes, documentation requirements, and database/software functions.
- Analyze program data and reporting to identify trends, risks of fraud/errors, and areas for optimized processing.
- Recommend and implement process improvement initiatives for maximum efficiency and accuracy.
- Prepare high-level reporting on weekly, monthly, and annual rebate volumes for program oversight.
- Serve as liaison between processing department and other teams like auditing, customer service, and IT. Ensure coordination on tasks and issues.
- Consult with program director on policy/guideline updates and ensure staff training/implementation.
- Manage departmental email inbox and escalate unresolved external customer issues appropriately.
- Continuously monitor regulatory/program environment and adapt department protocols accordingly.
- Contribute to team success with effective communication and sound decision making.
- Respond to questions and requests professionally and in a timely manner.
- Other remote duties as assigned.
Minimum Qualifications:
- Bachelor’s OR associate’s degree from an accredited university in a relevant field. A combination of education and work experience will also be considered.
- Five (5) years’ experience in managing rebate/incentive program departments – preferably rebates and incentives related to home energy efficiency, appliances, or home electrification.
- Ability to exercise impartial, unbiased professional care when reviewing case files. Including the capability of the highest level of professional objectivity for gathering, evaluating, and communicating information.
- Ability to perform tasks within a fast-paced environment and limited supervision.
- Excellent verbal and written communication skills and collaboration with team members.
- Must be legally authorized to work in the U.S.
Preferred Qualifications:
- Experience with energy policy, materials, and processes.
- MS Office and Adobe Reader
- Understanding the importance and handling of personally identifiable information.
