Position purpose:

Responsibilities/Duties/Functions/Tasks:


Must be able to train new hires when available on the following skill sets:


Check-In
Check Out
Chart Prep
Batching/Balancing/Deposits


Responsible for copayment, patient balances, coinsurance, and deductibles collected on every patient.
Making sure our front desk team is greeting all patients and delivering excellent patient care.
Be the liaison for patient complaints and work alongside the manager.
Responsible for making sure all appointment reminder calls have been confirmed.
Responsible for making sure team members are prepping schedules 1 week in advance.
Must be able to be the superuser and assist with coverage and training as needed.
Assist when needed for inventory count.
Assist when needed in ordering supplies and making sure the front desk has the necessary supplies.
Assist Practice Manager as needed for any projects or initiatives.
Assist in developing training tools for front office staff.
Must be able to track metrics for the front office that include no-shows, recalls, and cancellations and make sure patients are being reactivated.
Responsible for scheduling or rescheduling patients due to provider schedule changes for the location assigned.
Assist Practice Manager with making sure the alarm is set or disarmed before the start and/or end of day shifts.
Making sure teams are printing next-day schedules and identifying any patients that need to reschedule due to providers taking time off or changes to provider schedules.
Making sure all voicemail messages are cleared up and assigning team members goals for completing calls.
Set schedules for front staff and communicate with the manager on scheduling staff needs.
Create a culture of patient excellence and delivering customer service.
Assist in proper communication between the practice manager, provider, and back-office staff.
Help identify areas of development and coaching with staff and communicate with the Practice Manager.

QualificationsEducation:


High School Diploma or GED is required.


Experience:


Minimum of 2-3 years experience working in a medical office.
Prior dermatology experience is preferred.
Some supervisory experience is preferred.


Performance Requirements:


Quality written and verbal communication skills.
Quality mathematics skills.
Professional in appearance and mannerisms.
Knowledgeable of medical dermatology terms/CPT, ICD-10.
Able to work efficiently in a fast-paced environment
Able to demonstrate compassion and caring in dealing with others, patients, and coworkers.
Able to prioritize tasks, understand the providers' instructions, and know when to seek information or advice.
Experience using EMR systems is a plus.

Equipment Operated: Standard office equipment including computers, fax machines, copiers, printers, telephones, etc.

Physical Requirements: Must possess manual dexterity to operate office machines including computer and calculator; stooping and bending to handle files and supplies; and mobility to complete errands or deliveries. Includes handling of sharps and chemicals.
