The University Interscholastic League (UIL) is the governing body for extracurricular activities in Texas public schools. The UIL sanctions and conducts activities in academics, music and athletics for students in elementary, middle school and high school in over 1,200 member school districts.

Purpose

Provide administrative and clerical support to the UIL Academic Department and Director of Academics.

Responsibilities

  • Work directly with the Academic Director and serve as a point of contact and administrative support for the department.
    • Create, proofread and edit correspondence.
    • Answer or route email and phone calls and assist with routine correspondence (mailings, clerical filings, electronic documents, accommodation requests) for the academic department.
  • Coordinate with consultants and academic staff on formatting, proofing and editing high school academic contest and study materials, publications, handbooks, and manuals. Coordinate with other departments to effectively manage the printing and shipping of contest materials and awards. Maintain and update UIL academic web pages.
  • Prepare and coordinate details for the organization and administration of academic contests, conferences and other departmental events.
    • Organize a schedule of events.
    • Maintain the online entry system.
    • Manage school registrations and payments.
    • Distribute materials and set up meeting spaces.
  • Act as a liaison and facilitate interactions with stakeholders (teachers, academic coordinators, spring meet directors, state contest directors/consultants, resource vendors and committee members).
    • Solicit names and compile a database of contest officials.
    • Create the academic newsletter.
    • Manage the wildcard qualifiers listing.
    • Archive results for historical records.
  • Work weekends and holidays, depending on academic events or UIL functions. Other related functions as assigned.

Required Qualifications

Bachelor's degree. Five years of clerical experience, including two years of experience with complex administrative functions. Experience composing and editing business correspondence. Experience interpreting policy and implementing procedures. Ability to display tact and professionalism, work cooperatively in a fast-paced office environment, while providing excellent customer service. Outstanding verbal and written communication skills with the ability to effectively communicate to a broad audience. Proficiency with Microsoft Office and Adobe programs. Demonstrated time management, critical thinking, and organizational skills. Ability to use sound judgment to facilitate independent decisions. Experience managing simultaneous projects and meeting tight deadlines, and ability to determine and manage priorities. 

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Experience with UIL activities and public school personnel. Experience with planning and executing events. Experience with Smartsheet and project management. Demonstrated competency in direct customer service.

Driving Required

This job requires a class "C" operator's driver's license. The applicant selected must provide a current three year driving record from the current state of residence. If not currently a Texas resident, a Texas driver's license must be obtained within 30 days of becoming a Texas resident. Employees who are required to have a CDL are subject to drug and alcohol testing (pre-employment, post-accident, reasonable suspicion, random, return-to-duty, and follow-up drug and alcohol testing).

Salary Range

$65,000+ depending on qualifications
