Purpose

Assist the Jackson School Business Services Office with travel coordination, a fast-paced, demanding environment, where a high-level customer service is essential.

Responsibilities

  • Responsible for travel coordination in the Jackson School’s Business Services Office.  Serve as the Business Services main point of contact for all travel, to include, but not limited to, processing Requests for Travel Authorizations and processing travel reimbursements for faculty, staff, and students.  Travel coordination includes support and services through program development, enhancement, and measurement. The travel coordinator, identifies processes, resources, to meet customer needs and follow all federal, state, and university processes and guidance

  • Program administration through coordination of customer activities, routine communication, research, budget monitoring budget, compliance, and compliance documentation. Documents standard operating procedures, ensures communication to customers and staff, ensures easy access to program information.

  • Provides customer service, keeps management, employees, and clients up-to-date on current policy, procedures and related official information. Develops metrics to measure program success through adherence to scope, timeliness, budget maintenance and forecasting, customer satisfaction. Performs research and develops graphs, charts, spreadsheets, correspondence, reports, and presentation materials, as requested. Monitors program for improvement opportunities by reviewing program adherence to scope, client needs, and department goals.

  • Work in coordination with department staff to ensure that all accounting components of field trips are completed, the including purchase daily-rate insurance for traveling students.

  • Serve as travel liaison between the Business Services Office and other University offices. Stay current with applicable federal, state and university rules and regulations, interpreting and ensuring compliance. Other related functions as assigned.

Required Qualifications

Bachelors degree with no less than three (3) years work experience performing complex administrative functions and/or program coordination.  Demonstrated ability to perform detail-oriented work.  Ability to meet deadlines and work cooperatively in a team environment. Professional demeanor. Demonstrated accuracy and attention to detail. Excellent computer skills, including Microsoft Office and online software solutions.  Excellent organizational, interpersonal, verbal, and written communication skills.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Bachelor's degree in business administration, or similar discipline, and ten or more years performing complex administrative functions. Experience with University and/or State accounting and travel policies and procedures, demonstrated experience reconciling complex transactions. Time management skills, problem solving mindset, organizational skills, and ability to follow tasks through to completion.  Outstanding interpersonal, verbal and written communication skills.

Salary Range

$55,000 + depending on qualifications

Working Conditions
