About the role

Job Objective: To run all operations of the DHQ Office Services Department, including adherence to postal, UPS, and The Salvation Army regulations.

 

Essential Functions:

  • Provide print and copy service for DHQ staff and corps as requested, maintaining records of all projects
  • Process incoming mail according to The Salvation Army regulations; sort, open, and date stamp all mail with the assistance of a Finance Department clerk
  • Distribute DHQ mail internally to various departments; pick up outgoing mail
  • Process all outgoing mail using both postage and UPS machinery daily, including mail to the corps and Territorial Headquarters
  • Order and maintain an inventory of office supplies. Order and fill office supply orders
  • Manage all postage machines, all site copy machines maintenance; keep records of all maintenance schedules, and calls
  • Prepare letterhead as requested
  • Provide front lobby and receptionist relief for lunch, breaks and other needed times
  • Provide post office and UPS pick-ups and drop-offs on a relief basis
  • Property maintenance management system assistance -Track outstanding/incomplete Preventative Maintenance (PM) tickets for each site
  • Contact sites regarding outstanding PMs to be completed at the respective sites
  • Provide property maintenance management system training/support to the field
  • Conduct Initial review of Property Department agenda items for completeness
  • Request property agenda item information from Corps as needed
  • Other duties as assigned

 

Minimum Qualifications:

Education: High school diploma or equivalent preferred

 

Experience: experience with office machines and postage processes preferred.

 

Skills/Abilities:

  • Must work well with all types of people and have a willingness to cooperate with others on special projects.
  • Must be able to work in a busy environment, keeping track of multiple tasks at the same
  • Excellent computer skills including Microsoft 365 including Outlook and Excel.
  • Position requires a confident, self-motivated, multi-tasked individual with integrity in the use of resources.
  • Must be a highly organized, detail-oriented, self-starter able to meet deadlines.
  • Strong Communication skills are necessary.
  • Willingness to promote and work in accordance with The Salvation Army's mission, vision and values, with particular regard to excellence of service.

 

Supervisory Responsibility: None

 

Physical Requirements: Include speaking, hearing and vision ability, and excellent manual dexterity to be able to perform copying and mailing procedures. Lifting, pulling and pushing of materials up to 50 pounds to be able to perform mass mailings and shipping heavy packages. Requires bending, squatting and walking. Standing up to four hours per day. Reasonable accommodation may be made to enable individuals to perform the essential functions of this job.

 

Travel: None

 

Driving: Driving is required; must possess a valid driver's license from the state of residence. Must be approved through The Salvation Army Fleet Safety Program to drive either a Salvation Army or personal vehicle on Salvation Army business.

 

Working Conditions: Work is performed in a typical mail room/office environment.
