The PDMB Regulated Bioanalytics Department is seeking a Senior Administrative Associate within the Late Development (AdVAnce) Vaccines bioanalytical group located at our Company's new state-of-the-art AdVAnce GxP research facility in West Point, PA. At this new facility, we will combine the power of innovative robotics, IT platforms, and science to accelerate vaccines and enable late-stage clinical trials through the generation of timely, high-quality regulated bioanalytical data. A combination of molecular (e.g., PCR), serology (e.g., ligand binding titer immunoassays), and cell-based assays (e.g., neutralizing assays) will be utilized to generate pivotal safety and efficacy clinical patient data required for regulatory filings. As the AdVAnce facility will not be fully constructed and ready for occupancy until 2026, initial roles will complete training and perform work primarily at our Company's Springhouse Innovation Park facility in Lower Gwynedd Township, PA.
Responsibilities:
Complete general secretarial/clerical duties
Coordinate and execute multiple tasks while understanding the project principles and technical skills related to work assignments
Complete priorities and activities with minimal supervision
Produce various work deliverables requiring strong analytical ability, independent judgment, creativity, and problem solving
Schedule complex/multi-leg travel (domestic and international)
Support the use of Team Sites
Effectively communicate with our Company executives and internal/external clients both on-site and remotely to maintain workflow
Manage executive calendars, setup meetings and agendas, with some in-meeting support to generate minutes and document/track action items
Compiles and maintains sensitive information as needed
May coordinate special projects within the division/area
Education Minimum Requirement
High-school diploma
Required Experience & Skills:
Minimum 5 years Administrative Assistant experience
Strong computer skills using MS Office Suite (Outlook, Word, Excel, PowerPoint)
SAP Experience processing expense reports, purchase orders and payment requests, vendor add forms, as well as capability to run reports within SAP
Experience scheduling complex travel arrangements including multi-leg domestic and international travel, as well as researching and securing visa needs/applications
Strong clerical skills with a history of strong performance
Experience with event planning and coordination as well as calendar management
Strong attention to detail
Outstanding communication and people skills
Preferred Experience & Skills:
Experience working with/coordinating with our Company's personnel outside of the US
Experience interfacing with/supporting senior executives (Executive Director, AVP, VP)
Project budget management experience (project builder, planning tool and report preparation)
