Description

JOB TITLE:                       Administrative Assistant to the Equip Network
DEPARTMENT:                The Equip Network
DIVISION:                         Academic
SUPERVISOR:                  Associate Director of the Equip Network

  1. PURPOSE OF THE JOB (What are the end results or objectives of this position?  Why does the job exist?)
    • To provide administrative assistance to the Equip Network.
       
  2. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES (What duties are required for the position to exist?)
    • Answer initial inquiries and send appropriate information to potential Equip and Mentored Internship participants.
    • Process and maintain applications, syllabi, course planning, registration, implementation, and CampusNet pages for the Equip partnerships and Mentored Internships according to established processes.  
    • Process and maintain documents and requirements for the mentor and practicum instructor approval process.
    • Serve as a initial liaison between the Equip Office, the student body, and churches or other organizations in maintaining partnerships.
    • Maintain ongoing communication with current Equip and Mentored Internship participants.
    • Develop and update Equip and Mentored Internship materials, including promotional materials and means in conjunction with our Communications Dept. as needed.
    • Perform regular audits of Equip student and course registration data, Equip website, and various Equip feedback forms for accuracy and necessary updates.
       
  3. OTHER DUTIES & REPONSIBILITIES (Responsibilities/important duties performed occasionally or in addition to the essential duties of the position.)
    • Maintain appropriate files, manuals, reports, and information for student records and accreditation purposes.
    • Perform other duties as assigned by the Director or Associate Director.
       
  4. SUPERVISORY RESPONSIBILITIES (Provide the number and type of employees supervised, level of authority to hire and fire or to make recommendations.)

  5. KNOWLEDGE AND SKILLS (Indicate which are required, preferred, or desirable. Include licenses and certificates.)
    • Ability to interact well with students, partners, faculty and various departments of academic support, and other personnel.
    • Ability to follow through with assigned tasks.
    • Expert working knowledge concerning Equip and Mentored Internship.
    • High competency in computer and telephone skills.
    • Competency with Microsoft Office Applications (Outlook, Word, Excel).
    • Competency with CampusNet (learning.sebts.edu).
    • Competency with course management systems, academic management systems, and inventory systems (Monday.com, JotForm, etc.).
       
  6. FISCAL RESPONSIBILITY (Budgeting responsibilities, approval privileges on purchase orders and check requests, reporting and auditing functions.)
    • N/A
       
  7. EXTENT OF PUBLIC CONTACT (Within and outside the Seminary)
    • Contact with EQUIP churches and applicants, mentors, practicum instructors, and organizations.
    • Work and communicate with Accounting Services Office, Registrar Office, Admissions Office, AVPGTI Office, Instructional Design Office, Student Support Office, Faculty and Staff, etc.
       
  8. PHYSICAL DEMANDS (Walking, lifting, equipment, operation, etc.)
    • Normal fitness as required for office duties
       
  9. WORKING CONDITIONS AND ENVIRONMENT (i.e., necessary travel, unusual work hours, unusual environmental conditions, etc.)
