We are seeking an Executive Assistant to join our growing team in Ft. Lauderdale, FL.
The Executive Assistant provides high-level administrative support to senior executives, ensuring smooth and efficient operations within the organization. This role requires exceptional organizational, communication, and multitasking skills. The Executive Assistant will manage calendars, coordinate meetings, handle confidential information, and assist with day-to-day operations, allowing executives to focus on strategic initiatives.
How You Will Contribute
- Understands the organizational culture to deliver results and support.
- Develop and execute effective communication strategies to keep EVP informed; follow through with tasks created from these touchpoints
- Develop meeting agendas and prepare presentations.
- Review emails, categorize/sort emails for EVPs review, and respond to emails, if appropriate.
- Providing supporting materials for requested activities.
- Set up meetings, in-person or virtual, as required. Ensure AV equipment, communication equipment, meeting supplies, food, on-site host point of contact, and security measures are set-up and communicated. Ensure presenters are on task.
- Attend meetings, take notes, and follow-up as appropriate.
- Manage calendar, respond to meeting request, and post all-day events and meetings on schedule.
- Make travel arrangements for EVP, including travel planners, itineraries, and schedule meetings needed. This will include all means of travel including air, train, ground transportation, hotel, etc. Work with travel agents as needed.
- Process expenses using Concur. Review and approve expenses for direct reports to EVP.
- Plans, organizes, prioritizes, and oversees activities to efficiently meet business objectives for training programs, Board positions, and Corporate Senior Leadership Team position.
- Ability to work cooperatively with others and develop trusting relationships with senior leaders, external partners, and teammates at all levels.
- Ability to manage competing deadlines, multiple projects, and changing priorities.
- Successfully leverages the latest technologies to increase performance. Quickly embraces and masters new technological advances adopted by the organization.
- Excellent written and verbal communication skills.
- Minimal travel via car or plane, with overnight stays, may be required (less than 10%).
Skills & Experience to Be Successful
- Exceptional communication skills with the ability to influence and inspire others.
- Strong project management and logistical expertise.
- Demonstrated ability to operate in a fast-paced, high-pressure environment while maintaining an elevated level of professionalism and confidentiality.
- High knowledge of Microsoft Office Suite, Windows, Concur, & Workday.
- Ability to understand and interpret the multiple complexities of an evolving business undergoing expanded growth. (preferred)
- Knowledge of wholesale insurance and financial concepts a plus. (preferred)
