Position Overview
The Pharmacy Experiential Academic Coordinator and Liaison manages and supports the logistical, administrative, and compliance aspects of the Pharmacy Experiential Education Office. This position is responsible for handling the onboarding of all students, preceptors, and rotation sites for IPPE and APPE rotations in both the campus and online pathways of the pharmacy program. This role works closely with and serves as a liaison for students, preceptors, and external stakeholders to track pharmacy experiential curricular requirements and ensure compliance with accreditation standards and site policies.
Responsibilities
- Track/obtain all student requirements for eligibility in introductory and advanced pharmacy practice experiences as outlined in the Pharmacy Experiential Education Manual.
- Track completion of experiential education pharmacy program requirements, final rotation evaluations, and other end of rotation documents by students and preceptors for each IPPE and APPE rotation block, sending reminders if needed.
- Track student academic progress as it pertains to experiential education.
- Verify student registration for APPE rotations prior to each semester and track drop/add of APPE rotations as schedule changes occur throughout the academic year; serve as the EEO liaison with R&R as needed.
- Maintain and provide onboarding documentation requested by any rotation site or health system using their specific format or platform including but not limited to My Clinical Exchange.
- Maintain timely and consistent communication with students and preceptors regarding experiential curriculum requirements and updates.
- Participate in pharmacy classes that relate to experiential education, including the Interprofessional Education and Professional Development course series and Introduction to Rotations.
- Assist in the onboarding and training of new preceptors. Ensure preceptor information and rotation syllabi are current and up to date.
- Serve as the EEO liaison when working with University Health Services and external vendors to ensure students meet all health requirements and complete certifications needed for placement at introductory and advanced rotation sites.
- Serve as a resource and assist in addressing questions or concerns related to experiential education from students, preceptors, rotation sites, and others regarding IT platforms, onboarding, documentation, special events, etc.
- Assist in the annual editing and updating of the Experiential Education Manual.
- Support editing and updating the COPHS website in areas related to pharmacy experiential education.
- Assist in the planning and executing of special events including the Annual Preceptor Development Event and Preceptor Connect.
- Serve as the EEO liaison to OSS and support college activities that include the experiential component of the curriculum.
- Track and maintain inventory of pharmacy program promotional products for use by the Experiential Education Office.
- Support the Director of Experiential Education and EEO staff as needed.
Required Qualifications
- Bachelor’s Degree
- 3-5 years of relevant work experience
- Strong organizational, communication, and problem-solving skills.
- Ability to prioritize workload and manage multiple tasks.
- Proficient in Microsoft Office Suite and database management.
- Value and exhibit collaboration and teamwork.
Preferred Qualifications
- Experience with experiential education software and data reporting tools. (e.g. eValue, ePortfolio, Canvas, CORE, Salesforce)
- Experience in higher education, pharmacy education, or healthcare settings.
- Knowledge of pharmacy practice environments and student learning experiences.
