Status: Year-round Hourly (Non-Exempt) 


The Executive Assistant is responsible for performing and/or overseeing all administrative office duties to ensure an accurate, efficient and smooth operation for the President/Chief Operating Officer (P/COO); handling all privileged information with strict confidentiality; and for following all policies and procedures. This position supports the P/COO and Senior Leadership Team (SLT) by managing schedules, communications, and projects while coordinating company-wide initiatives and maintaining a professional office environment.

Requirements

Essential Responsibilities:

  • Maintaining the P/COO’s appointment schedule by planning and scheduling meetings, conferences, and travel.
  • Greet, direct and when necessary, screen individuals requesting unscheduled meetings with P/COO.
  • Assist in handling routine inquiries made to the P/COO office.
  • Manage emails and phone calls on behalf of the P/COO to reduce their workload and prioritize essential matters.
  • Maintain P/COO calendar. Coordinate and schedule SLT meetings. 
  • Coordinate with Alterra on team meetings and processes. 
  • Prepare correspondence as delegated by the President/COO.
  • Maintains timely and effective communications; ensures appropriate follow-up with superb oral and written communication and interpersonal skills.
  • Conserves the P/COO’s time by reading, researching, and routing correspondence: drafting letters and documents; collecting and analyzing information; and initiating communications.
  • Contributes to SLT meetings to ensure efficiency and effectiveness by preparing the agenda and support materials, recording minutes, and participating to provide relevant information.
  • Coordinates company-wide meetings, such as weekly staff meetings and annual staff retreats, to support company goals for communication, staff learning, and strategic development. 
  • Works independently on projects and initiatives assigned by the P/COO.  
  • Serves as a communications link between the P/COO and both internal and external stakeholders.
  • Identifies essential communication needs and determines the most appropriate channels for delivering those messages. Supports the team members who are tasked with drafting and sending communications, ensuring that key information is conveyed effectively and efficiently across the organization.
  • Maintains and manages a comprehensive planning calendar for the entire ski area, ensuring all key events, deadlines, and activities are organized and communicated effectively across departments.
  • Collaborates with Alterra Mountain Company peers, resort conference planners, and events team for onsite events and meetings.
  • Partner with leaders at A-Basin to embed diversity equity and inclusion competency and practices across teams to develop and support a respectful workplace. 
  • During busy times, may be requested to assist any department with immediate needs.
  • Maintains a warm, hospitable, and professional executive office environment.
  • Orders general office supplies, maintains electronic and hardcopy records, maintains copy machine and video conference systems, organizes common areas in the executive suite.
  • Coordinates the coding and authorization of invoices, credit card statements, and expense reimbursements for payment.
  • Coordinates all travel including flight, hotel, car rental, itinerary for P/COO, SLT, and any visiting Alterra Executives
  • Other duties as assigned
