The Coordinator for Regional & Special Events supports the Regional & Special Events team. The coordinator reports to the Senior Associate Director, Regional and Special Events. Responsibilities include administrative support, project management, event related support. The coordinator plays a critical role in supporting Regional events.Job Description
Primary Duties & Responsibilities:
- Provide event support to various regional events, with a focus on events in Tier 1 cities and Chancellor attended events. Duties may include, coordination of logistics such as event timelines, RSVP tracking, briefing packet drafting and routing, preparation and shipping of event materials, venue scouting, communication and invitation process, reservation management and design, onsite setup, budgeting, catering, audio-visual and technical planning, other vendor arrangements, post-event evaluation, and strategically crafting/editing/scheduling event broadcast emails (MyEmma) including invitations, event reminders, recognition, surveys, and event follow-up.
- Serve as resource for the Senior Associate Director, Regional and Special Events in managing special projects.
- Provide staff support for special event activities. This includes but is not limited to Commencement, regional campaign kickoffs, building dedications, groundbreakings, the Volunteer Leadership Conference, the Stein Lecture and the annual Major Gifts Staff Retreat, etc.
- Special projects as determined by Senior Associate Director, Regional and Special Events. This includes but is not limited to ordering/inventorying gift items and coordinating holiday cards.
- Perform other duties as assigned.
