About the role

The Director of Project Management for Workforce and Careers provides project management leadership for specific grants, initiatives, and programs as assigned for the division. This position applies project management methodologies to ensure the successful delivery of complex, multi-stakeholder initiatives while coordinating closely with Vice Presidents within Workforce and Careers.

This is a grant-funded, full-time position. There is no guarantee of continued employment beyond the grant period, which ends on 12/31/28.

MAJOR RESPONSIBILITIES:

  • Leads planning, execution, monitoring, and closure of assigned projects using established project management frameworks and methodologies.

  • Manages the coordination of cross-functional project teams, leads and facilitates effective team meetings, synthesizes discussions, and documents actionable next steps.

  • Develops and maintains comprehensive project documentation, including charters, schedules, risk registers, and status reports for all assigned initiatives.

  • Coordinates closely with Vice Presidents within the Workforce and Careers division on projects, system implementations, and initiatives requiring resources or infrastructure support. This includes the Vice Presidents for the following Schools and teams: Information Technology, Career Link, Nursing, Health Sciences, Garatoni School of Entrepreneurship & Innovation, Public Affairs & Social Services, Advanced Manufacturing, Engineering & Applied Sciences, and Culinary Arts & Hospitality Management.  

  • Works in close partnership with the Executive Director for Grant Implementation & Management, Workforce and Careers to align activities and documentation to project management standards, governance expectations, and reporting cadence for the Workforce and Careers project, award, and initiatives portfolio.

  • Manages project scope, schedule, budget, and quality to ensure deliverables meet stakeholder expectations and organizational requirements.

  • Identifies, assesses, and mitigates project risks and issues; escalates concerns to appropriate leadership when necessary.

  • Facilitates project meetings and documents decisions, action items, and outcomes.

  • Communicates project status, milestones, and deliverables to stakeholders at all levels, including executive leadership, campus partners, and external entities.

  • Manages stakeholder expectations and builds collaborative relationships across campuses, College teams, and external partners.

  • Supports procurement and vendor management activities for assigned projects, including statement-of-work development and contract coordination.

  • Partners with Sponsored Programs and Ivy Tech Foundation to monitor grant compliance, ensuring project activities meet institutional policies and funder requirements throughout the project lifecycle.

  • Contributes to the development and continuous improvement of project management processes, templates, and standards within the Workforce & Careers division.

HIRING RANGE: $80,000 - $85,000

POSITION FUNDING: This is a grant-funded, full-time position. There is no guarantee of continued employment beyond the grant period, which ends on 12/31/28.

EDUCATION AND EXPERIENCE:

  • Bachelor’s degree required.

  • Project Management Professional (PMP) certification preferred.

  • Two or more years of experience managing projects of moderate to high complexity required.

  • Experience with project management software and tools (e.g., Asana, Smartsheet, or similar platforms) required.

  • Demonstrated ability to manage multiple concurrent projects with competing priorities required.

  • Strong attention to detail and organizational skills are required.

  • Strong written and verbal communication skills are required.

  • Experience in higher education or grant-funded environments preferred.

  • Must have the ability and willingness to travel within the state.
